Base pay range

$22.00/hr - $25.00/hr

OBJECTIVE: Under general supervision, the Program Specialist is key to supporting the planning, coordination, and successful execution of projects and initiatives, contributing to organizational success by coordinating logistics, tracking progress, managing communications, and maintaining accurate records, while fostering strong relationships with staff, partners, and participants.

EMPLOYMENT TYPE:

Temporary, through August 31, 2026, with potential for extension based on funding availability.

GENERAL STATEMENT OF DUTIES

Position works independently with some latitude for use of initiative and decision-making. Duties include, but are not limited to:

  • Provide administrative and logistical support for programs, events, and meetings, including scheduling, preparing materials, and managing follow-up actions.
  • Prepare, edit, and file documents, reports, and presentations.
  • Develop and track project plans, milestones, and timelines; coordinate with staff to ensure timely and effective completion of initiatives.
  • Create templates, tools, and resources to support the planning and execution of events and projects.
  • Coordinate and communicate with internal teams, vendors, and community partners involved in projects or events.
  • Collect, analyze, and report quantitative and qualitative data from industry, education, and community sources to support evaluation and funding requirements.
  • Maintain organized and up-to-date records, shared calendars, and documentation related to assigned projects and events.
  • Utilize spreadsheets, databases, and project management tools to track budgets, timelines, and deliverables.
  • Assist with purchasing, expense tracking, and procurement documentation for program related activities.
  • Support program communications, including drafting email announcements, promotional materials, and social media content.
  • Respond to general inquiries and serve as a point of contact for internal and external stakeholders.
  • Perform other duties as assigned.
REQUIRED KNOWLEDGE,

SKILLS AND ABILITIES
  • Strong collaboration and interpersonal skills, with the ability to communicate effectively in both written and verbal forms in professional and technical contexts.
  • Ability to prioritize tasks, manage multiple projects, and adapt to changing priorities in a fast‑paced environment.
  • Strong organizational, planning, and time management skills with a keen attention to detail.
  • Ability to analyze, synthesize, and interpret information to support decision‑making, reporting, and program improvement.
  • Proficiency with computer applications and technology, especially Microsoft Office, and familiarity with project management or workflow tools preferred.
  • High level of self‑motivation and ability to work independently, when necessary, while maintaining strong collaboration with team members.
  • Ability to interact effectively with diverse groups, including internal staff, vendors, partners, and the community.
  • Bachelor's degree from an accredited college or university preferred; however, relevant experience may substitute for a degree.
POSITION DETAILS
  • Valid Texas motor vehicle operator license or available alternate means of transportation.
  • Employment is contingent on funding and/or evaluation of duties.
