Overview

Emirates Palace Mandarin Oriental, Abu Dhabi is looking for an Accounts Payable Accountant to join our Finance team.

Based at the Emirates Palace Mandarin Oriental, Abu Dhabi within the Finance Department, the Accounts Payable Accountant is responsible for continuous verification of invoices, statements and credits received, resolving discrepancies with invoices, statements, credits and/or vendors, travel agents or any departments within the hotel. Additional duties include creating and maintaining computerized records of expenses and payments, assisting in the preparation of various reports produced by the department and assisting in the month-end closing process.

The Accounts Payable Accountant reports to the Assistant Director of Finance/Director of Finance.

Responsibilities
  • Review open purchase order files, check for past-due invoices weekly, investigate and resolve discrepancies.
  • Obtain all invoices through store or mail supported with an authorized Purchase Order/Purchase Request and signed by Receiving Department, Head of Department and legitimate purchases.
  • Prepare payments and submit them, with their support attached, for final approval and signatures.
  • Verify receipt of all materials listed on invoices and statements received from vendors and suppliers.
  • Perform accuracy verification of items received, general ledger account charged and invoice extensions.
  • Report deviations from established purchasing/receiving procedures to Assistant Director of Finance and Director of Purchasing.
  • Post and input invoice data into accounting software on a daily basis; verify data accuracy.
  • Respond to creditors queries relating to invoices/payments promptly and professionally.
  • Prepare accruals monthly and yearly.
  • Reconcile advance payments and ensure all cleared on a monthly basis.
  • Support External and Internal Audits.
  • Ensure that all department employees are accurately paid in accordance with statutory requirements and contractual agreements.
  • Arrange staff vacation dues in time according to hotel policy and answer employees’ queries.
  • Prepare approved and signed payment requests for release.
  • Maintain files for purchase orders, receiving documents, signed check copies, computer printouts and other accounts payable documentation.
  • Assist in end-of-month closing processes, including payments, reversals and accruals.
  • Verify and process payment of Travel Agent commissions.
  • Assist with annual review and purge of files.
  • Prepare account reconciliations monthly and maintain them in good order.
  • Assist in the monthly VAT filing process.
  • Assist in updating the Cash Flow statement.
  • Maintain courteous and professional interactions with external companies/suppliers and colleagues throughout the hotel.
Qualifications
  • Bachelor’s degree in accounting, Finance or Hospitality Management.
  • Minimum of 5 years’ experience in accounting, with a thorough understanding of the Accounts Payable function; resort experience is a plus.
  • Working knowledge of accounting software including SUN Systems, Moreton Bay Systems and Windows applications.
  • Strong proficiency in Microsoft Office Suite – especially Excel and PowerPoint.
  • Strong organizational and communication skills.
