Purpose of the Role:
The Team Leader – Administration oversees Admin team and coordinates all administrative activities related to PRO and EOR services. This role ensures effective documentation, audit compliance, process implementation, and interdepartmental coordination to maintain operational excellence. The position acts as a primary escalation point representing Admin Team under Operations Department.
Key Responsibilities:
- Oversee the administration and periodic audit of:
- EOR (Employer of Record) Services
- PRO (Public Relations Officer) Services
🔹Supervision of Log Management, Document Archiving, and Audit
- Ensure maintenance and accuracy of:
- Project Log
- Service Contract Log
- Job Card Log
- Employee Log
- Manage GulfHR platform updates and ensure data integrity.
- Develop, update, and maintain document templates for operational use.
🔹Validations
- Conduct validation checks for:
- Job Cards
- Prepare and deliver:
- Weekly and monthly reports as required by Management
- Oversee:
- ADNOC Registration & Contracts
- Serve as client point of contact for relevant services
- Perform:
- Insurance renewals coordination
- PRO clients’ expiry alerts to KAM
- Follow-ups with stakeholders to ensure task completion
- Review and implementation of current and new processes
- Car rental arrangements for staff
🔹Focal Point for Issue Resolution
- Act as the primary contact to resolve issues related to:
- Invoicing
- Payroll
- Job Cards
- Accounts Receivable
🔹Cross functional support
- Take up additional tasks or responsibilities as and when required to meet business needs.
- Strong leadership and team supervision skills
- Excellent organizational and multitasking abilities
- Proficiency in HR systems
- Strong reporting and analytical skills
- High attention to detail and accuracy
- Effective communication and problem-solving skills
Qualifications & Experience:
- Bachelor’s degree in Business Administration, Management, or related field
- 5+ years of experience in Administration within PRO, EOR, or related services
- Prior experience in managing cross-functional teams is preferred
- Solid understanding of UAE regulations and administrative processes
- Preference for candidates with UAE Driving license
