Position: Administrative Coordinator - NOV Inc.

This vacancy is part of NOV's Emiratization initiative.

As an Administrative Coordinator, you will take care of all tasks related to reception and will take part in purchasing and logistics.

Responsibilities
  • Greet and welcome guests/visitors as soon as they arrive at the office. Direct visitors to the appropriate person and office
  • Ensure reception area is tidy and presentable
  • Maintain office security by following safety procedures and controlling access via the reception desk (monitoring logbook)
  • Issue PPEs to visitors visiting the plant
  • Monitor office facilities (including stationery and other office equipment)
  • Assist with travel arrangements such as flight, hotel booking and car rental when needed
  • Set up meeting rooms/training, arrange catering for events when needed
  • Coordinate with facility/building maintenance for any repair, pest control and cleaning services
  • Perform all other tasks assigned by Supervisor
  • Create purchase orders (POs) in ERP system and monitor score card
  • Send/receive documents and non-document packages for both local and international
  • Draft shipping documents
  • Follow company policies, procedures, QMS and HSEMS

Education and Experience Required
  • Proven work experience as a Receptionist and Admin
  • 0–2 years’ experience in a related field
  • Diploma degree
  • Logistics experience
  • Knowledge in ERP is advantage
  • Knowledge in MS Word, Excel, PowerPoint and other MS Office software
  • Good business English and Microsoft command
  • Driver's license
