Document Controller & Admin Support

Position: Document Controller & Admin Support

Reporting to: Information Manager within the Project Information Management team

Basic Functions

The role is responsible for oversight of document control activities within the Document Management Group (DMG). It is hands‑on and proactive, ensuring integrity, accuracy, and timely processing of project documentation.

Key Duties
  • Supervise electronic receipt and distribution of documents.
  • Manage EDMS such as Share Cat.
  • Expedite comment turnaround during document reviews and return marked‑up documents within agreed time frames.
  • Manage document distribution matrices.
  • Facilitate communication between global operating centres and subcontract organisations.
  • Provide comprehensive administrative support (≈25% of the role): organising meetings, preparing and distributing agendas and minutes, maintaining records and filing systems, coordinating travel arrangements, managing correspondence, and supporting the wider project team.
Principal Accountabilities
  • Electronic receipt of documents from multiple global operating centres and managing EDMS (Share Cat) distribution.
  • Distributing documents to subcontract organisations electronically using EDMS.
  • Expediting turnaround of comments within the project organisation(s) and returning marked‑up documents within agreed time frames.
  • Location and retrieval of documents as requested by project personnel.
  • Adherence to Information Management control documentation and procedures.
  • Provide EDMS and DMG procedural training and support to internal and external participants.
  • Manage EDMS Document Distribution Matrices (DDM).
  • Support the functional disciplines work processes.
Technical and Academic Requirements
  • Preferable degree level in a technical or administrative discipline or equivalent.
  • At least five years’ experience with document control, with at least three years in EPC projects.
  • Clear understanding of business needs, conditions and processes.
Language Requirements
  • English – essential.
  • Arabic – ideal.
