Job Description

Our client is seeking an Executive Secretary provides essential day-to-day operational, administrative, and secretarial support to the Chief Executive Officer (CEO), the Executive Director of Sales, the Executive Director of Service Innovation and Delivery, and their direct affiliates. This role acts as a primary liaison with both internal and external stakeholders, handling complex and highly confidential tasks with strict discretion. By ensuring seamless communication, efficient handling of assignments, and proactive schedule management, the Executive Secretary contributes directly to overall organizational effectiveness and professional stakeholder engagement.

Key Responsibilities
  • Provide meticulous management of the calendars and schedules for the CEO and Executive Directors, demonstrating strong judgment when prioritizing, filtering, and rescheduling appointments.
  • Offer comprehensive logistical support for leadership and department meetings, including arranging venues, coordinating catering, preparing agendas, taking minutes, and tracking action items.
  • Organize high-level programs, corporate events, meetings, and conferences, ensuring seamless delivery while maintaining strict budget controls.
  • Work closely with the Director of Strategic Affairs to coordinate and prepare all external client-facing materials, presentations, and reports, ensuring the highest standards of quality.
  • Screen, prioritize, and manage the inbox and incoming correspondence for assigned executives, proactively drafting responses and routing inquiries to the appropriate departments.
  • Serve as a professional gatekeeper and liaison, facilitating smooth communication between the executive office and internal teams, external clients, and strategic partners.
  • Coordinate complex travel itineraries, arrangements, and accommodation for executives, ensuring compliance with corporate travel policies and expense documentation.
  • Maintain a highly organized, confidential, and secure physical and digital filing system for all corporate records, executive agreements, and strategic documentation.
  • Manage and compile the weekly client meeting report, ensuring all updates from the business development and service teams are accurately aggregated for executive review.
  • Greet high-profile visitors, VIP guests, and corporate clients, representing the business and executive office with the highest level of professionalism and hospitality.
  • Leverage modern office technologies, productivity applications, and artificial intelligence tools to continuously optimize administrative workflows, speed up execution, and improve accuracy.
  • Undertake ad-hoc administrative projects, research tasks, and operational assignments as directed by the executive team and department superiors.
Requirements
  • A Bachelor’s Degree in Business Administration, Communications, Secretarial Studies, or a related field.
  • Professional certifications in secretarial practices, advanced office management, or executive administrative assistance are considered a strong asset.
  • A minimum of 3 years of relevant experience in an administrative, secretarial, or executive support capacity.
  • Expert proficiency in calendar management, email optimization, and scheduling tools (specifically Microsoft Outlook).
  • Advanced capability across the Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and One Drive.
  • Exceptional written and verbal communication skills in English (Arabic language proficiency is highly advantageous).
  • Proven capability to handle highly confidential corporate data with absolute integrity, discretion, and maturity.
