Key Responsibilities
- Supervise staff and plan, organize, and prioritize workloads so resources are used effectively and work is completed within set deadlines.
- Oversee day‑to‑day activities of subordinates to ensure policies and procedures are correctly followed and duties are completed on time and to required standards.
- Coordinate with the head office for processing staffing needs, collecting, verifying, and updating administrative documents and records.
- Integrate new people and provide assistance in administering salaries to the project workforce.
- Provide prompt logistical services, including accommodation, catering, transportation, and telecommunication; conduct audits as needed and react promptly to problems to safeguard workers’ well‑being.
- liaise with external parties for logistical service provision and supervision of service quality; solve minor day‑to‑day problems and escalate major ones.
- Supervise collection, reconciliation, and reporting of time‑attendance data; control overtime levels, absences, and vacations; notify the Project Manager of any abnormalities to optimize overtime costs and monitor productivity.
- Control site purchases and inventory practices; safeguard purchased materials and supplies by supervising proper reception, storage, and dispatch.
- Control the project’s petty cash, monitor and verify on‑site payments, handle cash discrepancies, and submit reports to the Project Manager to prevent irregularities.
- Manage the proper handling and control of administrative documents and records; enter relevant data on BIS and provide required information to internal customers to support ongoing construction and control activities.
- Develop a culture of customer focus and customer care at site administration level; provide recommendations to improve services and optimize customer satisfaction.
- Provide guidance and support to subordinate staff and act as a point of expertise and reference within own area of specialty.
- BA with a minimum of 10‑15 years experience in an administrative position.
- Good interpersonal and analytical skills.
- English language proficiency, written and spoken.
