The Role

As an Operations Co-ordinator at Venture One, you will play a key role in supporting the smooth running of day-to-day business operations across Venture One and its portfolio of ventures. Working closely with internal teams and external partners, you will help coordinate office operations, facilities requirements, employee support activities, vendor interactions, technology administration, and internal events. This is a hands‑on coordination role suited to someone who is highly organized, proactive, and comfortable managing multiple operational priorities in a fast‑paced environment.

You will act as a reliable point of contact for administrative and operational matters, helping improve efficiency, strengthen internal processes, and ensure teams have the support they need as Venture One continues to scale.

Key Responsibilities Operations & Facilities Coordination
  • Support the day-to-day coordination of office operations, facilities, and workplace requirements
  • Coordinate office access, workspace arrangements, seating, furniture, and related employee needs
  • Support logistics for employees, visitors, meetings, and business activities
  • Assist with office moves, workspace planning, and facilities-related projects
  • Coordinate facility requirements for our ventures
Technology & Tools Administration
  • Support the administration of software tools, subscriptions, and licensing requirements
  • Coordinate onboarding and offboarding requests related to systems, tools, and access
  • Maintain visibility of active subscriptions and support efforts to identify efficiencies and cost‑saving opportunities
  • Liaise with IT teams and service providers to follow up on hardware, software, and access‑related requests
Employee Experience & Administrative Support
  • Support employee experience, wellbeing, and internal engagement initiatives
  • Maintain administrative trackers, follow‑ups, and coordination materials across key operational activities
  • Coordinate with external vendors and internal stakeholders to support employee‑related processes
  • Provide administrative support across HR, procurement, marketing, and shared services activities as required
Events & Internal Coordination
  • Support the planning and coordination of Venture One events, including internal meetings, team events, and annual activities
  • Coordinate event logistics, materials, vendors, attendees, and follow‑up actions
  • Maintain internal distribution lists and ensure relevant employee updates are reflected accurately
  • Support the creation and coordination of operational materials, templates, and branded items for Venture One and its ventures
Procurement & Vendor Coordination
  • Support the procurement team with procurement‑related administrative activities, including purchase request coordination and process follow‑ups
  • Assist with vendor coordination, documentation, invoice follow‑ups, and operational request
  • Help ensure requests are tracked, followed up, and completed in a timely manner
Process Improvement
  • Identify opportunities to streamline repetitive administrative tasks and improve operational efficiency
  • Support the development of simple processes, trackers, and ways of working to improve coordination across teams
  • Contribute to a more structured and scalable operating environment as Venture One grows
Minimum Qualifications
  • 7+ years of experience in operations, administration, office management, facilities coordination, shared services, or a similar role
  • Strong organizational skills with the ability to manage multiple priorities at once
  • Experience coordinating with internal teams, vendors, and external service providers
  • High attention to detail and strong follow‑through
  • Ability to work independently and take ownership of tasks from start to finish
  • Strong written and verbal communication skills
  • Proficiency in Microsoft Office tools, including Outlook, Excel, and Power…
