Job Purpose

The Community Management Executive supports the Community Management team in managing Owners' Associations (OA) in compliance with applicable laws governing jointly owned properties. The role is responsible for supporting community operations, financial administration, stakeholder engagement, resident relations, and coordination with owners, residents, service providers, contractors, and other stakeholders to ensure the effective management of the community.

Roles & Responsibilities Operations
  • Conduct regular site inspections and address HSE-related issues.
  • Report concerns to service providers through formal reports and CAFM systems.
  • Maintain and update the community action tracker.
  • Inspect and verify third-party contractor works before approving completion reports.
  • Coordinate with security, issue violation notices, and resolve service requests.
  • Organize joint inspections with service providers and evaluate performance.
  • Maintain knowledge of Facilities Management contract deliverables.
  • Identify opportunities to improve community operations and efficiency.
  • Prepare operational reports and updates.
  • Assist in weekly operations meetings.
  • Draft official correspondence for service providers and stakeholders.
  • Support emergency incident management and client interactions.
  • Assist in building management operations and capital improvement projects.
Customer, Resident & Owner Relations
  • Respond to owner and resident inquiries via email, phone, text, and other communication channels.
  • Attend to walk-in customers when required.
  • Ensure compliance with community rules and regulations.
  • Recommend improvements that enhance resident comfort and community living.
  • Communicate planned maintenance activities, emergency works, or disruptions to residents.
  • Maintain and update tenant databases and community portal records.
  • Support community events and resident engagement activities.
  • Attend board meetings and Annual General Assemblies.
  • Coordinate access to units for projects and maintenance activities.
Financial & Administrative Responsibilities
  • Review financial statements with Community Management.
  • Assist in service charge budget planning and recommendations.
  • Support the collection of service charges in accordance with applicable laws.
  • Maintain community management forms and records.
  • Process advertising and flyer distribution requests.
  • Assist with tender preparation and site visits.
  • Coordinate purchase requisitions, LPOs, and payment processing.
  • Liaise with Procurement, HSE, Finance, and other support departments.
  • Support departmental budget preparation.
  • Assist with insurance claims, reimbursements, and property damage tracking.
  • Prepare meeting minutes and reports.
  • Upload records for quarterly and annual meetings.
  • Prepare weekly and monthly reports.
  • Support invoicing, receipting, and collection of service charges.
  • Coordinate service provider invoicing and payments.
  • Provide general administrative, clerical, and secretarial support to the Owners' Association.
Qualifications
  • Graduate or Undergraduate degree.
  • Community Management certification from a recognized institute is desirable.
Experience & Skills
  • Minimum 1 year of experience in a similar role within an Owners' Association or Property Management company, or 2 years in hotel front‑office roles (preferred).
  • Minimum 2 years of administrative experience within the UAE.
  • Strong verbal and written communication skills.
  • Fluent in English;
    Arabic is an advantage.
  • Proficient in Microsoft Word, Excel, and PowerPoint.
  • Excellent time management and a proactive work approach.
  • Ability to work independently.
