Position: Document Control Administrator at Pink Neon Advertising

Job Summary

Most assignments require familiarity with standard company processes and good PC skills. The assistant will be bilingual (Arabic and English) with a working knowledge of the construction terms in both languages and very proficient with document control systems such as Aconex or PMWeb.

In charge of the document control system for the group, the assistant gathers statistics and general data, reviews and combines data into established reports for use within and outside the unit.

Responsibilities
  • Gather statistics and general data; review and combine this information into established reports for use within and outside the unit.
  • Develop new reports or revise existing reports, as directed; reports may be in spreadsheet or graphical formats, or narrative style.
  • Verify data gathered, such as matching supplier invoices against file copies.
  • Distribute reports as directed by the immediate supervisor.
  • Originate correspondence and reports that do not require the personal attention of the immediate supervisor.
  • Answer telephone, take and relay messages.
  • Receive, sort and distribute mail.
  • Establish and maintain records of equipment, including a log of equipment service dates.
  • Be in charge of the document control system for the group.
  • Initiate requests for service.
  • Obtain basic data for completion of the unit's overhead budget and prepare associated recurring reports.
  • Produce preliminary reconciliation as appropriate.
  • Coordinate physical space requirements for the assigned unit.
  • Initiate requests for PCs and telephones, and update the corporate directory as appropriate.
  • Periodically prepare occupancy reports by project or gather information to complete staffing reports for the unit and/or several projects, as directed by the immediate supervisor.
  • Perform other responsibilities associated with this position as may be appropriate.
Qualifications
  • High school diploma.
  • 5+ years of relevant experience.
  • Good written and oral communication, organizational, and interpersonal skills.
  • Good business English and general office practice skills.
  • Demonstrated proficiency in keyboard skills and a working knowledge of MS Windows and related word processing, spreadsheet, and database software.
