Position: Receptionist

Location: Dubai, UAE

Key Responsibilities
  • Welcome clients, visitors, and guests in a professional and courteous manner
  • Manage the front desk and ensure the reception area is clean and well-organized
  • Answer, screen, and direct incoming phone calls and emails promptly
  • Handle incoming and outgoing courier services, mail, and deliveries
  • Schedule appointments, meetings, and maintain meeting room calendars
  • Maintain visitor logs and employee attendance records
  • Coordinate office supplies, pantry items, and stationery inventory
  • Liaise with vendors for office maintenance, repairs, and facility-related requirements
  • Support the HR team with employee onboarding documentation and record maintenance
  • Prepare correspondence, reports, and other administrative documents
  • Maintain physical and electronic filing systems while ensuring document confidentiality
  • Coordinate with internal departments to ensure smooth day-to-day office operations
  • Provide administrative support to management and perform other duties as assigned
Preferred Qualifications
  • Bachelor's degree or equivalent
  • 2‑5 years of experience as a Receptionist or Administrative Executive
  • Excellent verbal and written communication skills in English
  • Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
  • Strong organizational and multitasking abilities
  • Professional appearance and customer‑focused attitude
  • Previous UAE experience is an added advantage
  • Minimum 2 years of experience in Receptionist and Admin in Healthcare, Wellness or pharmaceutical industry needed
  • Exceptional verbal and written communication skills for presentations and negotiation
  • A strong, proactive focus on meeting and exceeding targets
  • Ability to build rapport, trust, and long‑term relationships with clients
