Role Purpose
The Community Coordinator supports the day‑to‑day administration and operations of the community management team, ensuring effective communication with residents, service providers, and internal departments. The role focuses on delivering high‑quality customer service, coordinating community activities, maintaining accurate records, and assisting in the smooth operation of the community.
Key Responsibilities- Resident Customer Service – Serve as a primary point of contact for residents, responding to inquiries and directing requests appropriately; coordinate and track resident complaints, requests, and feedback to ensure timely resolution; maintain positive relationships with residents and stakeholders through professional communication.
- Administrative Support – Manage correspondence, emails, reports, and meeting minutes; maintain organized records of permits, notices, service requests, and community documentation; prepare periodic operational and performance reports for management.
- Operations Coordination – Coordinate with maintenance, security, housekeeping, landscaping, and contractors to ensure service delivery; monitor the progress of work orders and follow up on pending tasks; assist in scheduling inspections, meetings, and contractor activities.
- Community Engagement – Support the planning and execution of community events, campaigns, and resident engagement initiatives; prepare and distribute community notices, newsletters, and updates; promote community rules and guidelines in a professional and approachable manner.
- Compliance Documentation – Maintain records of approvals, permits, and contractor documentation; ensure community files and databases are up to date and accurate; support compliance with company policies and community regulations.
- Financial Vendor Support – Assist with processing invoices, purchase requests, and service‑related documentation; coordinate with vendors regarding schedules, documentation, and contract requirements; monitor administrative budgets and expenditures as assigned.
- General Duties – Assist the Community Manager with special projects and operational initiatives; escalates urgent issues that may affect resident safety or community operations; participate in site inspections and prepare follow‑up action lists; perform other duties as assigned to support the effective management of the community.
Bachelor's degree or diploma in Business Administration, Hospitality, Property Management, or a related field. 2–4 years of experience in community management, customer service, property management, or administration. Experience working in residential communities or facilities management is an advantage.
