Engineering Administrative Assistant - UAEN
YOUR ROLE
As Engineering Administrative Assistant, you will be the organizational hub of the Engineering department, supporting daily operations through efficient administration, inventory control, vendor coordination, reporting, and financial tracking. Your attention to detail and ability to manage multiple priorities will help ensure the smooth operation of engineering processes, compliance requirements, maintenance programs, and procurement activities. By providing proactive support to the Director of Engineering and the wider team, you will contribute directly to operational efficiency, asset management, and the overall success of the hotel.
HOWYOU’LL MAKE THE PLACE
- Coordinate departmental administration, including correspondence, reports, meeting arrangements, presentations, records management, and departmental communications.
- Manage inventory and procurement processes, including receiving deliveries, verifying invoices, maintaining inventory records, and coordinating with vendors to ensure timely and cost‑effective supply of materials.
- Support the Director of Engineering with budgeting, forecasting, contract administration, purchase orders, accrual reporting, and departmental financial tracking.
- Maintain accurate departmental records, including preventive maintenance schedules, annual leave tracking, duty rosters, banquet event requirements, and operational documentation.
- Liaise with internal departments, external suppliers, contractors, and service providers to support engineering operations and resolve administrative issues efficiently.
- Prepare departmental reports, meeting minutes, sustainability and net‑zero reporting updates, and performance tracking documentation.
- Monitor open purchase orders, annual maintenance contracts, cash expenses, and project documentation to ensure compliance with company procedures and deadlines.
- Support a safe and compliant working environment by following hotel policies, participating in safety initiatives, and assisting with emergency preparedness and departmental compliance requirements.
- You have experience supporting engineering, facilities, maintenance, or hotel operations in an administrative or coordinator capacity within a luxury hospitality environment.
- You are highly organized and thrive in managing multiple priorities, deadlines, records, and administrative processes with exceptional attention to detail.
- You possess strong administrative and coordination skills, with the ability to prepare reports, manage documentation, and maintain accurate records.
- You are confident working with Microsoft Office applications and can efficiently produce spreadsheets, presentations, reports, and correspondence.
- You communicate professionally and effectively with colleagues, vendors, contractors, and stakeholders at all levels.
- You demonstrate strong problem‑solving abilities, sound judgment, and a proactive approach to supporting operational excellence.
- You are comfortable handling inventory, procurement, invoicing, and financial tracking processes while maintaining accuracy and confidentiality.
- You are fluent in English, both written and spoken, and enjoy working collaboratively in a fast‑paced, service‑oriented environment.
