The Site Administrator will provide the administrative structure required to keep site operations organized, responsive, and properly documented. The role supports management and project personnel by coordinating schedules, maintaining records, handling correspondence, monitoring routine site requirements, and connecting internal teams with external stakeholders. Reliable administration will help reduce operational delays and ensure important site information, resources, and actions remain visible and controlled.
Key Responsibilities- Coordinate routine site administration and support the orderly execution of daily operational activities.
- Maintain schedules, meetings, appointments, and administrative priorities for site management and project personnel.
- Organize digital and physical filing systems so records can be located and retrieved efficiently.
- Prepare correspondence, reports, meeting information, trackers, and other administrative documentation.
- Maintain accurate records covering site activities, incidents, operational matters, and performance information.
- Support resource coordination and track routine requirements affecting site operations.
- Assist with facility-related administrative matters and follow up on outstanding requests.
- Coordinate communication between departments, site personnel, management, and relevant external stakeholders.
- Handle inquiries from project and site personnel professionally and direct matters to the appropriate responsible parties.
- Monitor administrative actions and follow up to ensure agreed tasks are completed within required timelines.
- Support compliance with established site procedures, organizational requirements, and applicable administrative controls.
- Assist management with preparation of operational reports and summaries.
- Maintain correspondence records and ensure important communications are properly filed and distributed.
- Support onboarding and orientation activities for newly assigned site personnel.
- Prepare documentation and coordinate practical administrative requirements associated with new starters.
- Monitor routine site systems, resources, and equipment from an administrative perspective and elevate issues when necessary.
- Maintain confidentiality when handling sensitive personnel, project, or organizational information.
- Assist teams in coordinating meetings and maintaining records of decisions and follow-up actions.
- Identify recurring administrative bottlenecks and suggest practical process improvements.
- Use Microsoft Office applications to maintain professional reports, spreadsheets, presentations, schedules, and correspondence.
Candidates should have 2-3 years of experience in an administrative, project support, or site support position and demonstrate the organizational discipline required for a deadline-driven working environment. Proficiency in Microsoft Word, Excel, PowerPoint, and Outlook is required. The role suits candidates who can maintain accurate records, manage competing administrative priorities, coordinate with different teams, and communicate professionally with internal and external stakeholders.
