Role Context

The Document Controller will maintain the integrity and traceability of project information within a fast-moving construction environment. Using Aconex as the primary document management platform, the role will control how drawings, technical submissions, correspondence, approvals, records, and revisions move between project participants. Accurate document administration will help engineering and construction teams work from current information while preserving the audit trail required for project governance and compliance.

Key Responsibilities
  • Administer project documentation through Aconex and maintain an accurate, structured, and searchable electronic filing environment.
  • Register, classify, index, file, and retrieve construction and technical records according to established document control procedures.
  • Manage document workflows covering submission, review, approval, distribution, revision, and final recording.
  • Monitor incoming and outgoing documentation and ensure information reaches the correct project stakeholders within required timelines.
  • Maintain rigorous revision and version control to prevent superseded documents from being used during project execution.
  • Coordinate with contractors, consultants, engineers, and project teams to obtain required documentation and resolve outstanding submissions.
  • Review document metadata and records for completeness, consistency, and correct classification before processing.
  • Perform accurate data entry and maintain registers covering drawings, correspondence, submissions, approvals, and other controlled records.
  • Track document status and highlight overdue reviews, approvals, responses, or incomplete workflow actions.
  • Identify discrepancies between document registers, revisions, transmittals, and stored records and coordinate their correction.
  • Generate document status reports, registers, summaries, and other information required by project management.
  • Support construction coordination by ensuring teams can quickly access current approved project documentation.
  • Apply project specifications, document numbering conventions, filing protocols, and regulatory record requirements.
  • Respond efficiently to requests for drawings, technical records, correspondence, and supporting documentation.
  • Maintain organized repositories throughout the active project lifecycle and support structured document closeout activities.
  • Protect confidential and commercially sensitive project information through appropriate access and handling controls.
  • Use Microsoft Office applications to prepare registers, reports, trackers, correspondence, and supporting records.
  • Support improvements to document control processes where workflow gaps or recurring information-management issues are identified.
  • Coordinate documentation priorities in a deadline-driven environment without compromising accuracy or traceability.
  • Maintain a complete audit trail of project information and document transactions.
Ideal Profile

Candidates should have at least 5 years of experience in document control, preferably within a construction supervision consultancy, engineering design consultancy, or comparable project environment. Proven hands‑on Aconex experience on large-scale building or commercial projects is essential.
