AECOM is seeking a detail-oriented Document Controller to support project information management operations in Abu Dhabi, UAE. The role is responsible for maintaining accurate, secure, and accessible project documentation across physical and digital environments. Working closely with project teams and external stakeholders, the Document Controller will manage document life cycles, version control, filing systems, information distribution, and compliance while protecting confidential and proprietary information.

- Set up, scan, copy, organize, and store project documentation in physical and digital formats.
- Create and maintain document templates to standardize processes and improve information management efficiency.
- Manage documentation requests and securely distribute project information to authorized team members.
- Maintain structured filing systems and ensure records are stored according to established protocols.
- Control document versions so current information remains accessible while superseded versions are appropriately archived.
- Review records for accuracy and make necessary edits and updates to maintain current documentation.
- Ensure documentation complies with applicable regulatory requirements, industry standards, and organizational policies.
- Liaise with project teams at different organizational levels and with external stakeholders to support effective information distribution.
- Protect sensitive and proprietary information and maintain strict confidentiality.
- Prepare regular and ad-hoc reports covering documentation status and relevant metrics.
- Train and support team members in document management systems, processes, and good practices.
- Analyze document management issues and implement practical solutions to improve workflows and efficiency.
- Proven experience as a Document Controller or in a similar document management position.
- Excellent written and verbal communication skills with strong interpersonal abilities.
- Advanced proficiency in Microsoft Office Suite, including Word, Excel, and PowerPoint.
- Advanced proficiency in SharePoint.
- Hands-on experience with document management software and Common Data Environments.
- Strong knowledge of Information Management Systems and their applications.
- Exceptional attention to detail and ability to identify and correct documentation errors.
- Strong time management and organizational skills with the ability to prioritize multiple tasks.
- Proficient typing and editing capabilities.
- Practical expertise in data organization and filing systems.
- Analytical and problem-solving ability, particularly in addressing document management challenges.
- Ability to collaborate effectively with diverse teams across different organizational levels.
- Experience with version control and document lifecycle management.
- Familiarity with project management methodologies and processes.
- Ability to handle sensitive information with appropriate confidentiality and discretion.
- Capability to train and mentor colleagues in document management processes.
- Ability to obtain security clearances required for the role.
