The Administrative Coordinator serves as an important point of contact for clients while supporting the accurate flow of information within the property. The role combines office administration with hospitality service, requiring organized record management, precise written communication, and responsive handling of questions and requests.
Administrative Responsibilities- Serve as a point of contact for clients and respond to questions and requests by telephone and email.
- Enter and retrieve information from computer databases using a keyboard, mouse, or trackball.
- Update records, files, reservations, and other operational information.
- Retrieve information needed to answer guest inquiries accurately.
- Prepare letters, memos, and other business documents.
- Use word processing, spreadsheet, database, and presentation software for administrative tasks.
- Transmit information and documents electronically, by mail, or through a facsimile machine.
- Proofread and edit written information for accuracy and completeness.
- Enter and locate work-related information using computers and point of sale systems.
- Operate standard office equipment in addition to computer systems.
- Complete other reasonable duties requested by supervisors.
Professional communication is central to this position. The Administrative Coordinator responds to client inquiries, answers telephones using appropriate etiquette, and communicates with guests and colleagues using clear and professional language. Guests should be welcomed and acknowledged according to company standards.
