We are seeking an experienced Senior Document Controller responsible for controlling, maintaining, and coordinating project documentation and correspondence to ensure accurate registration, distribution, revision control, retrieval, and archiving in accordance with company, project, and client requirements.
Responsibilities- Actively follow and promote the Company Safety and Security policies and ensure that fellow employees and visitors are doing the same. These policies are to be followed at all times within the Company environment to ensure a safe and secure workplace for all.
- Register and maintain incoming and outgoing correspondence, drawings, technical documents, submittals, and other project records in the applicable document control system.
- Maintain document registers, transmittal logs, drawing registers, and other tracking records, ensuring information is accurate and up to date.
- Control the receipt, distribution, revision, and retrieval of project documents and ensure that current approved revisions are available to relevant stakeholders.
- Prepare and process document transmittals and coordinate submissions to clients, consultants, subcontractors, vendors, and internal departments.
- Monitor document/submittal status and follow up with relevant teams on outstanding reviews, approvals, comments, and resubmissions.
- Maintain electronic and hard-copy project records in accordance with approved filing structures, document numbering systems, and document control procedures.
- Ensure superseded documents are appropriately identified and controlled to prevent unintended use.
- Coordinate with Engineering, Project, QA/QC, Procurement, and other teams to ensure timely flow and traceability of project documentation.
- Maintain confidentiality and safe custody of controlled and sensitive project/company documentation.
- Prepare document control reports and support the compilation, archiving, and handover of final project documentation.
- Bachelor’s Degree / Diploma in Business Administration, Information Management, an Engineering-related discipline, or an equivalent qualification.
- Minimum 6–10 years of document control experience, preferably within EPC, construction, infrastructure, or utility projects.
- Experience managing engineering drawings, technical submittals, correspondence, transmittals, and project documentation.
- Experience with electronic document management systems and project document workflows.
- Experience coordinating documentation with clients, consultants, contractors, vendors, and multidisciplinary project teams is preferred.
- UAE/GCC project experience would be an advantage.
- Good knowledge of document control procedures, numbering, filing, distribution, and revision control.
- Proficiency in EDMS/document management systems and MS Office; experience with Aconex or similar systems is preferred.
- Ability to maintain accurate registers, logs, transmittals, and document status reports.
- Good understanding of engineering drawings, technical documents, and EPC/construction project documentation.
- Strong attention to detail, organization, communication, and follow-up skills.
- Excellent communication skills in English, including writing, speaking, and reading.
- Arabic language skills are preferred, and knowledge of additional languages would be considered an advantage.
