As Document Controller, you will manage the flow, registration, distribution, tracking, and storage of project documentation throughout the project lifecycle. You will coordinate closely with the Contractor, Client, Engineer, and wider project team while maintaining reliable records of submissions, revisions, approvals, correspondence, and outstanding actions.
Responsibilities- Manage and maintain project documentation and records in line with established project procedures.
- Control the receipt, registration, distribution, filing, and retrieval of project documents.
- Handle incoming and outgoing correspondence, technical submissions, drawings, RFIs, method statements, material submittals, and inspection documentation.
- Maintain document registers and keep tracking information accurate and current.
- Coordinate document reviews and distribute information to the appropriate project team members.
- Monitor document status, revisions, approvals, and outstanding actions.
- Maintain organized electronic and hard-copy filing systems.
- Ensure the latest approved drawings and documents remain accessible to the project team.
- Prepare and process document transmittals and official project correspondence.
- Maintain records of contractor and project submissions and follow up on overdue documentation.
- Coordinate document control requirements with the Contractor, Client, Engineer, and project stakeholders.
- Support project closeout by compiling and maintaining final records, including as-built drawings, O&M manuals, warranties, test records, and handover documentation.
- Help ensure document control procedures are consistently followed throughout the project.
- Diploma or Bachelor 's Degree in a relevant discipline.
- Relevant experience as a Document Controller within construction, marine, or infrastructure projects.
- Good understanding of document control procedures and construction documentation.
- Experience using Aconex, SharePoint, EDMS, or comparable document management systems.
- Good working knowledge of Microsoft Office, particularly Excel and Word.
- Strong attention to detail and effective document tracking skills.
- UAE construction or infrastructure experience is preferred.
- Good communication and coordination skills.
The position requires practical capability in project document registers, technical submissions, document revisions, approval tracking, transmittals, correspondence management, electronic filing, hard-copy records, and project closeout documentation. Relevant systems and applications include Aconex, SharePoint, EDMS, Microsoft Excel, and Microsoft Word.
Project CloseoutThe Document Controller will contribute to an orderly project handover by maintaining and compiling final project records. This includes coordinating as-built drawings, operation and maintenance manuals, warranties, testing records, and other handover documentation required at closeout.
