Document Controller​/Project Coordinator

We're looking for an organized, proactive Document Controller / Project Coordinator to support our Implementation Director and project delivery team. You'll handle document control, correspondence, meeting minutes, reporting and action follow-up in a fast-paced construction environment.

• Give the Implementation Director day-to-day admin and coordination support
• Track project priorities, deadlines and actions, and follow up with PMs, engineers, subcontractors, consultants and clients
• Prepare and track submittals, RFIs, method statements, inspection requests, transmittals and site correspondence
• Keep document registers up to date and make sure only the latest approved documents are in use
• Coordinate meetings, take Minutes of Meetings, and keep an Action Tracker running until every action is closed
• Draft professional technical and contractual letters
• Prepare weekly and monthly reports, dashboards and management presentations

• Bachelor's degree & 4 years of experience in related field
• Experience supporting Project Directors, Project Managers or senior management in construction or HVAC Projects
• Solid knowledge of construction documentation and document control
• Experiencing in DC software's like Procore, Aconex, Autodesk
• Hands-on use of AI tools (Gemini, ChatGPT, Copilot, etc.) for drafting, summarizing and reporting
• Excellent written and spoken English
• Highly organized, detail-oriented and discreet with confidential information
