Overview Of

The Role

The PDI Workshop Assistant plays a crucial role in coordinating PDI operations by managing repair orders, ensuring accurate documentation, and liaising with vendors for timely delivery of goods. This role requires effective communication within the workshop and with other departments to ensure the supply chain functions smoothly. The assistant is responsible for maintaining quality assurance and adhering to standardized operating procedures, contributing to customer satisfaction by delivering defect‑free vehicles.

The role also involves participating in continuous improvement initiatives like 5S and Kaizen to enhance operational effectiveness and workplace safety.

What You Will Do
  • Ensure that repair order/ job cards for PDI operations are processed in a timely manner.
  • Coordinate with Team Leaders to distribute the repair orders to the workshop teams.
  • Document all warranty work as per manufacturers requirements and dealership policy.
  • Prepare appropriate documents and liaise with vendors for timely delivery of goods.
  • Ensure preparation of daily and weekly productive incentives and payrolls.
  • Assure a proper filing system is maintained and be able to pick a file instantly when required.
  • Ensure full and accurate communication to workshop, parts, reception, and quality control.
  • Attend and respond to inquiries via emails and telephones from showrooms.
  • Ensure communication across all departments and divisions (especially Sales & Marketing, Logistics and Retail Sales) to strengthen the supply chain.
  • Ensure to carry out quality work by maximizing output quality and minimizing job stoppage.
  • Ensure SOP is followed at all times during PDI operations.
  • Successfully participate in 5S and Kaizen initiatives and activities.
  • Ensure company safety policies and procedures are followed consistently.
  • Ensure Customers receive their car in pristine condition, defect‑free, and on‑time delivered.
Required Skills To Be Successful
  • Ability to effectively coordinate with workshop teams, vendors, showroom staff, logistics, and other departments. Clear communication (verbal and written) is essential to ensure smooth PDI operations and timely vehicle delivery.
  • Strong attention to detail in managing repair orders, warranty documentation, payroll inputs, and maintaining an efficient filing system. The ability to retrieve documents quickly and ensure compliance with SOPs is critical.
  • Understanding of workshop workflows, PDI processes, and manufacturer/dealership standards. Ability to follow structured procedures, ensure quality assurance, and minimize job stoppages.
  • Capability to prioritize multiple repair orders, vendor coordination, email responses, and internal communication without delays. Ensuring on‑time vehicle delivery requires strong planning and execution skills.
What Qualifies You For

The Role
  • Mechanical or Automotive Diploma or Degree.
  • 2 to 3 years of experience in a franchise automotive service department as workshop/office assistant.
  • Good knowledge of automobile and related products.
  • Proficient in IT skills and numerical skills.
  • Customer and quality‑focused mindset.
  • Ability to plan, organize, and execute tasks effectively.
  • Strong teamwork skills.
