Responsibilities

• Assist Institution Manager in Tender/Bidding requirements.
• Study the tender documents and prepare submission documents – Technical and Commercial.
• Prepare the tender documents, ensure all the requirements of the tender documents are complied with the tender terms and conditions.
• Communicating with the suppliers for the tenders/RFQ (Inviting, price and delivery lead time communication for Tender/RFQ submission, Tender/RFQ awarded notifications)
• Assemble and maintain internal documentation relating to the tendering process, including recording, price offers, approvals relating to tendering and contracting actions.
• Maintain and update company database ad submission of online Tenders and RFQ’s.
• Maintains tender files and arranges their archiving upon Tender completion.
• Maintaining prices are updated as per Tender agreed prices and Checking PO’s if the prices as per the Contract/RFQ offer submitted.
• Prepare Declaration letters or correspondences.
• Managing and tracking expiry communications and coordinate with the warehouse personnel and accounting department.
• Prepare related documents for the expiry items sent by the customer and seek approval from the supplier and monitoring and maintaining expiry notification.
• Keep records confidential such as customer’s contract, quotations, and other important documents.
• Archive files as per accounts and arranging required documents for company registration and renewing for institutional customer accounts.
