Job Description

A well-established entity is seeking an experienced Project Manager / Event Manager to lead the planning and execution of an upcoming Musical Festival. The ideal candidate must hold a Project Management certification (PMP or equivalent) and possess a proven track record of delivering classical music or performing arts events. This role combines structured project management with hands‑on event delivery, with primary responsibility for leading the project and coordinating cross‑functional internal teams.

Key Responsibilities
  • Lead end‑to‑end musical festival delivery using established project management methodologies.
  • Develop and manage project plans, timelines, milestones, and risk registers for the events team.
  • Ensure overall musical festival delivery remains strictly within scope, budget, and timelines.
  • Develop progress tracking dashboards, follow up diligently with the team, and draft regular project reports.
  • Oversee festival production, rehearsals, and live performances on‑site. Coordinate on‑site event execution to ensure high‑quality delivery and manage real‑time operational challenges to guarantee seamless continuity.
  • Lead the project across cross‑functional internal teams, including Technical (production, acoustics, staging), Logistics (transportation, equipment, scheduling), Operations (venue and crowd management), Administration (permits and compliance), and Hospitality (artist and guest services).
  • Coordinate team activities, track deliverables, and ensure alignment across all functions without direct line management responsibility.
  • Facilitate open communication and collaboration across all internal business pillars.
  • Hold full responsibility for artist and touring musician management throughout the entire project lifecycle.
  • Manage relationships with artists, orchestras, conductors, agents, and touring parties.
  • Plan and oversee complex artist logistics, including travel, accommodation, visas, rehearsals, and performance schedules.
  • Ensure full delivery of technical and hospitality riders in strict compliance with classical music standards.
  • Act as the primary coordination point for all artist‑related requirements across internal teams.
  • Develop and track project budgets while ensuring strict cost control and processing timely payments.
  • Manage contracts with artists, vendors, and partners, ensuring absolute compliance with financial and contractual obligations.
  • Coordinate with internal stakeholders, sponsors, and partners to provide regular project updates and ensure alignment on deliverables.
Requirements
  • Bachelor’s degree in Event Management, Production, Performing Arts, or a related field. A master’s degree or relevant certification is a plus.
  • Project Management Certification (PMP or equivalent) is strictly required.
  • 5–8 years of experience in project and event management, preferably specifically within musical festivals or performing arts festivals.
  • Proven experience coordinating cross‑functional teams, handling complex artist and touring management logistics, and managing large‑scale budgets and vendor contracts.
  • Strong project leadership and cross‑functional coordination within a non‑line management framework.
  • Event delivery expertise in high‑pressure, live performance environments. Specialized artist and touring management expertise within the classical music industry.
  • Excellent financial acumen, contract negotiation skills, and problem‑solving abilities under pressure.
