Basically, responsible for overseeing and managing the day-to-day operations of the Materials Management Department. To manage the department and ensure smooth workflow, besides being essentially responsible for the procurement of items, both medical and non-medical.
Responsibilities:- Ensure timely procurement of standardized and quality-approved medical and non-medical items.
- Negotiate long-term agreements and manage routine purchasing activities to achieve cost efficiency.
- Apply a systematic and data-driven approach to purchase planning based on stock levels and consumption patterns.
- Support product evaluation and development initiatives.
- Develop and maintain a reliable vendor network.
- Liaise closely with all user departments to understand and fulfill operational requirements.
- Guide and support colleagues/subordinates in daily operational tasks when required.
- Monitor inventory levels and plan replenishment accordingly.
- Ensure compliance with hospital policies, procedures, and regulatory standards.
- Maintain strict confidentiality of procurement and organizational information.
- Manage departmental administrative functions and related documentation.
- Generate reports as required from time to time.
- Attend internal and external meetings as necessary.
- Maintain professional and constructive relationships with vendors.
- Perform outdoor duties when required.
- Coordinate with staff and vendors to address defective or unacceptable goods/services and implement corrective actions.
- Evaluate new products and alternative items for cost-effectiveness and quality improvement.
- Prepare Requests for Quotation (RFQs) for regular and new items.
- Process and submit non-stock item requests for approval.
- Analyze price proposals, financial reports, and supporting documents to determine fair and reasonable pricing.
- Coordinate urgent or advance deliveries via phone or email, ensuring proper documentation is maintained.
- Bachelor’s degree in Commerce or a related field;
Master’s degree preferred. - Minimum of 5 years of experience, with at least 3 years in a similar procurement role within a hospital setting.
- Computer literate, with hands-on experience in hospital software systems such as HIS, ERP, and Insta (or similar platforms).
- Strong knowledge of hospital supplies, medical terminologies, and usage of healthcare-related items.
- Demonstrated negotiation and vendor management skills.
- Strong analytical and problem‑solving abilities.
- Good market knowledge and awareness of pricing trends and supplier landscape.
- Exposure to structured, scientific, and systematic procurement processes.
