Job Overview

New York University Abu Dhabi is seeking an Employee Mobility Services Specialist to support Relocation Services in Abu Dhabi, UAE. Reporting to the Assistant Director, Relocation Services, the role coordinates the relocation, arrival, transition, and repatriation processes for faculty, researchers, staff, and eligible dependents. The position requires strong administration, stakeholder coordination, customer service, and organizational capabilities to manage travel, accommodation, shipping, immigration coordination, documentation, payments, and employee communications.

Key Responsibilities
  • Update the relocation pipeline when new offer letters are received from recruitment and appointment teams.
  • Communicate relocation processes and requirements to new hires in a timely manner.
  • Maintain accurate relocation records, documentation, and employee files.
  • Liaise with recruitment, appointments, and relevant HR teams throughout each relocation.
  • Coordinate shipping, travel arrangements, accommodation, and other approved relocation services.
  • Track relocation expenses and support adherence to applicable budget guidelines.
  • Arrange employee and eligible dependent travel through NYU Abu Dhabi-approved providers in accordance with relocation policy.
  • Coordinate on-campus or other applicable accommodation for relocating employees and eligible dependents.
  • Arrange shipping through approved providers according to employee eligibility.
  • Process applicable relocation allowances when shipping services are not required.
  • Coordinate with the Web Team on necessary updates to the department 's web presence.
  • Liaise with the Housing department to confirm allocated accommodation is ready for incoming employees.
  • Maintain arrival records and provide relevant updates to recruitment teams.
  • Maintain required relocation documentation within central electronic employee files.
  • Work with external service providers to support efficient employee relocation.
  • Coordinate with the Immigration team regarding work permits and entry permits for international hires and eligible dependents.
  • Liaise with Immigration to initiate tourist visa requests for eligible dependents when applicable.
Employee Communication and Support
  • Schedule and conduct relocation and repatriation briefings.
  • Prepare and distribute briefing summaries.
  • Coordinate with travel, accommodation, shipping, and other service providers.
  • Send pre-travel Safe Journey communications containing relevant information for new hires traveling to the UAE.
  • Conduct first-day orientation for new employees.
  • Act as a helpdesk for questions from new joiners and other community members.
  • Provide clear and professional guidance throughout relocation and repatriation processes.
Repatriation Services
  • Maintain and update repatriation records.
  • Initiate required repatriation services with relevant providers.
  • Coordinate shipment and travel bookings when applicable.
  • Liaise with Housing regarding temporary accommodation requirements.
  • Respond to employee queries concerning repatriation arrangements.
  • Coordinate other repatriation activities as required.
Payment and Expense Administration
  • Verify service-provider invoices and identify discrepancies before purchase order processing.
  • Prepare payments and maintain supporting records.
  • Prepare and process applicable relocation allowances in lieu of unused shipping allowances in accordance with policy.
  • Report shipping invoice amounts to NYU Abu Dhabi Payroll and Tax when required.
  • Maintain accurate records of travel costs.
  • Track relocation-related expenses and supporting documentation.
Required Qualifications

Candidates must hold a Bachelor 's degree in a related field and have at least five years of administrative experience in a busy working environment.
