As a Project Coordinator
, you will play a key role in supporting operational, procurement, logistics, and administrative activities within a fast‑paced research and technology environment. The position is responsible for coordinating purchasing activities, managing supplier communications, tracking assets and inventory, overseeing shipment processes, maintaining documentation, and providing accurate operational reporting. The role requires strong organizational skills, attention to detail, and the ability to collaborate effectively with internal teams and external vendors.
- Create and submit purchase requisitions in accordance with departmental requirements.
- Coordinate with procurement teams to ensure timely processing of purchasing requests.
- Monitor and maintain records of assets, equipment, inventory, and stock levels.
- Follow up with suppliers to expedite orders and ensure timely delivery.
- Coordinate inbound shipments and support outbound logistics activities when required.
- Prepare and maintain reports related to procurement, logistics, inventory, and operational performance.
- Process goods receipt documentation and coordinate with finance teams as needed.
- Review, submit, and follow up on supplier invoices to ensure timely payment processing.
- Track shipments and proactively monitor delivery schedules.
- Provide regular updates to stakeholders regarding shipment and order status.
- Assist in budget planning, procurement forecasting, and expenditure tracking.
- Review and process invoices through internal systems and workflows.
- Support supplier onboarding and maintain accurate vendor records within company databases.
- Communicate progress, risks, and updates to all relevant stakeholders.
- Perform additional administrative, operational, and coordination duties as assigned.
- Minimum of 5 years of experience in a project coordination, procurement, logistics, or operations support role.
- Strong proficiency in Microsoft Excel and the broader Microsoft Office Suite.
- Experience working with ERP systems such as SAP, Oracle, or equivalent platforms.
- Familiarity with collaboration and project management tools, including Jira and Confluence.
- Excellent organizational, communication, and stakeholder management skills.
- Ability to manage multiple priorities and work effectively in a dynamic environment.
- Bachelor’s degree or equivalent higher education qualification preferred.
