Senior Documentation Specialist
United Global Ro-Ro (UGR) is looking for an experienced Senior Documentation Specialist to join our Operations team in Abu Dhabi.
In this role, you will be responsible for managing all documentation activities related to our PCTC and Ro-Ro shipping operations, ensuring the accurate preparation, verification, and timely distribution of shipping documents throughout the voyage cycle. You will work closely with ports, agents, customers, and internal stakeholders to support smooth cargo movements while maintaining the highest standards of compliance and operational excellence.
Key Responsibilities- Manage end-to-end documentation processes for Ro-Ro and PCTC shipments.
- Prepare, verify, and maintain bookings, loading lists, Bills of Lading (BLs), manifests, and voyage documentation.
- Coordinate with ports, shipping agents, customers, and internal departments to ensure timely document processing.
- Prepare, distribute, and update cargo manifests and voyage documentation to relevant authorities and stakeholders.
- Ensure the accuracy of booking data, BL information, and cargo documentation within company systems.
- Monitor documentation timelines and resolve documentation‑related issues proactively.
- Ensure compliance with customs regulations, port requirements, statutory regulations, and company procedures.
- Maintain accurate operational records and documentation reports.
- Support cost control initiatives by minimizing documentation errors, amendments, and operational delays.
- Contribute to continuous improvement initiatives to enhance documentation quality and operational efficiency.
- Bachelor's degree in Maritime Studies, Logistics, Supply Chain Management, Business Administration, or a related field.
- Minimum 4–6 years of experience in shipping documentation, preferably within Ro‑Ro, PCTC, container shipping, or maritime logistics.
- Strong knowledge of Bills of Lading, manifests, cargo documentation, and shipping procedures.
- Familiarity with customs and port documentation requirements.
- Experience working with shipping or ERP documentation systems.
- Excellent attention to detail and strong organizational skills.
- Ability to work effectively in a fast‑paced international environment.
- Strong communication and stakeholder management skills.
- Professional proficiency in English (written and spoken).
