Procurement Coordinator

Coordinate procurement activities for fit-out and interior design projects Source materials equipment and subcontractor services Support project teams with procurement planning and execution Maintain supplier relationships and procurement records Receive and review purchase requisitions from project teams Obtain and evaluate supplier quotations Prepare and issue Purchase Orders POs Negotiate pricing delivery schedules and payment terms within approved limits Coordinate with suppliers to ensure timely delivery of materials Track orders and follow-up on pending deliveries Verify compliance of purchased items with project specifications Maintain procurement documentation and supplier databases Coordinate with designers project managers quantity surveyors and site teams Resolve procurement-related issues shortages and delivery delays Monitor procurement costs and support budget control initiatives Prepare procurement reports and status updates for management Ensure adherence to company procurement policies and procedures Request quotations from approval and potential suppliers Recommend supplier selection based on technical and commercial evaluations Issue Purchase Orders within approved budgets and delegated authority limits Coordinate directly with suppliers regarding delivery schedules and order requirements Escalate procurement risks delays and non-compliance issues to management Recommend alternative suppliers or materials to meet project requirements Verify and approve procurement documentation for processing as per company authorization matrix Diploma or bachelor’s degree in engineering, business administration, supply chain management, procurement.

• 2 to 5 years of procurement experience, preferably in interior fit-out, construction, or design industries.
• Proficiency in MS Office, especially Excel (comparison sheets, logs).
• knowledge of local market suppliers, manufacturers, and logistics processes.

• Understanding interior fit-out, construction, and design industry processes.
• Familiarity with supplier evaluation, tendering, bidding, and contract administration.
• Understanding budgeting, cost control, and commercial terms
• Proficiency in ERP systems, procurement software, and Microsoft Office applications.
• Strong negotiation and vendor management skills.
• Excellent sourcing and supplier relationship management abilities.
• Cost analysis and price comparison skills.
• Ability to prepare purchase orders, procurement reports, and documentation accurately.
• Time management and prioritization skills to handle multiple projects simultaneously.
• Attention to detail and accuracy in processing procurement transactions.
• Ability to work collaboratively with designers, project managers, quantity surveyors, and site teams.
• Ability to manage multiple procurement requests and deadlines in a fast-paced project environment.
• Ability to monitor procurement schedules and ensure timely delivery of materials.
