Transport Coordinator
Job Purpose
Oversees coordination with internal departments and external service providers to ensure seamless execution of all Onshore and Offshore Mobilization and Demobilization operations, ensuring compliance with operational, safety, and documentation requirements.
Job Description- Review RFLS requests and initiate coordination with approved transporters.
- Arrange CICPA‑approved 06x06 trucks and ensure the driver and vehicle hold valid CICPA passes.
- Verify the completeness and compliance of all CICPA‑related documentation.
- Update gate pass forms with accurate truck and driver credentials.
- Submit completed CICPA gate pass forms to VMI or Service Department Coordinators for material‑related updates.
- Obtain final approved gate pass documents (signed and stamped) from the Drilling Supervisor.
- Communicate approved truck and gate pass details to warehouse teams for loading preparations.
- Conduct physical truck inspections upon arrival at ICAD and prepare inspection reports using ADNOC HSE forms.
- Coordinate with transportation companies for Journey Management Plan requirements.
- Liaise with rig‑site Radio Operators and Drilling Supervisors to track vehicle movements and mobilization progress.
- Provide timely routing or rig‑site updates to drivers.
- Obtain signed POD copies (soft and hard) from the transporter and share with the requester.
- Coordinate work order collection and ensure timely signature and stamping at rig sites.
- Coordinate with truck drivers and rig‑site authorities to ensure safe and efficient demobilization.
- Ensure drivers obtain ADNOC Loading Notes and FMC‑signed work orders.
- Notify warehouse teams of demobilization schedules and associated vehicle/driver details.
- Share all signed documents with relevant stakeholders.
- Review RFLS requests and arrange suitable Black Top trucks.
- Provide warehouse teams with complete truck and driver information, including arrival schedules.
- Coordinate with ESNAD Shipping Team to obtain gate pass approvals following loading.
- Facilitate truck entry through ESNAD Security Office.
- Arrange material inspections with ESNAD Offshore Inspection Team.
- Coordinate ADNOC Well through ESNAD Shipping Office.
- Collect signed PODs from transporters and forward them to the requestor.
- Review RFLS requests and arrange CICPA‑pass trucks.
- Verify CICPA credentials and update gate pass forms accordingly.
- Coordinate material information updates with VMI or Service Department.
- Provide the driver with a complete CICPA‑approved shipping document package.
- Notify ESNAD Shipping Team post‑loading for gate pass authorization.
- Coordinate truck entry with ESNAD Security Office.
- Arrange material inspections through ESNAD Offshore Inspection Team.
- Facilitate Well with ESNAD Shipping Office.
- Coordinate mobilization activities with the ESNAD Jetty Team.
- Collect and distribute signed PODs.
- Bachelor’s/Diploma degree in any stream with minimum of 2 years’ experience in a similar role.
- REQUIRED EXPERIENCE:
- Previous experience in the Oil & Gas industry or heavy‑equipment logistics is highly preferred, with understanding of compliance and operational standards.
- Strong awareness of Health, Safety & Environment (HSE) requirements, including safe loading/unloading, permit‑to‑work processes, and hazard identification.
- Completed safety‑related training/certifications will be an advantage, such as Safety, First Aid, Defensive Driving, Awareness, Manual Handling, Risk Assessment.
- Experience coordinating materials that require special transport requirements i.e. CICPA and conditions (oversized cargo, hazardous goods, pressure‑containing equipment, etc.).
