What Will Your Day Look Like?

The Logistics Coordinator is responsible for managing and executing day‑to‑day transport operations to ensure timely, accurate, and cost‑effective delivery of FMCG products to customers, distributors, and retailers. The role involves coordinating with carriers, third‑party logistics providers (3PLs), internal fleet, and cross‑functional teams to maintain service levels, minimise logistics costs, and ensure compliance with company and regulatory requirements. In the FMCG environment, where speed and reliability are critical, the Assistant Logistics Coordinator plays a vital role in safeguarding product availability on shelves and maintaining customer satisfaction.

Responsibilities

Logistics Transportation Operation
  • Act as primary point of contact for 3PL vendors and internal departments for enquiries regarding shipment planning, deliveries, and rejections.
  • Plan and allocate transport resources (own fleet/3PL) to meet daily delivery requirements.
  • Reverse Logistics – maximise the opportunity by doing backloads, circuit trips, etc., without exceeding the driver’s weekly working hours.
  • Create optimised shipment plans based on daily orders and post shipments in the ERP system.
  • Maximise full truck loads.
  • Ensure effective utilisation of own fleets.
  • Ensure timely delivery of customer and replenishment orders by working closely with drivers, dispatchers, and warehouse teams.
  • Keep records of all transactions and deliveries with utmost accuracy.
  • Support compliance of all vehicles and personnel with local regulations and company safety standards.
  • Monitor and minimise traffic fines; ensure drivers’ fines are reported to HR & Finance for disciplinary action and deduction from their next salary.
  • Oversee loading and unloading of goods.
  • Liaise with internal departments and external parties to resolve operational issues.
  • Ensure carrier service level as agreed in the agreement.
  • Ensure business shares are divided among carriers based on the provided guidelines.
  • Ensure all carriers submit their service invoices on time, validate them, and submit to finance for payment processing.
  • File transport documents such as PODs, trip sheets, permit logs, etc.
  • Perform other related duties as per business requirements.
Budget Management Support
  • Assist the Logistics supervisor, Fleet Operations & Logistics Manager in tracking expenses related to transportation, offloading charges, overtime, toll charges, etc.
Compliance and Documentation
  • Ensure compliance with Agthia safety regulations and quality standards.
  • Ensure all vehicle documents (permits, licences, insurance) are up to date and in regulatory compliance.
  • Ensure monthly TBT & OPL are completed as directed by HSE & QA.
  • Maintain accurate records of shipment details, fuel, and driven distance to support fleet performance analysis and reporting.
  • Ensure daily trip sheet and vehicle checklist compliance.
MIS & Reporting
  • Monitor and control transport costs, including freight, fuel, tolls, and penalties.
  • Track and analyse transport KPIs such as:
  • On‑time, in‑full (OTIF) delivery rate.
  • Transport cost per ton/km.
  • Fleet/vehicle utilisation rate.
  • Claims or damages ratio.
  • Compile and maintain timely, accurate reports on fleet operations, performance metrics, and maintenance costs.
  • Assist in preparing periodic reports for the department, ensuring compliance with company reporting standards.
  • Ensure local and export customer POD submission/filing is 2 days and 10 days, respectively.
Qualifications

Minimum Qualifications
  • Diploma / Bachelor’s degree in logistics, supply chain management, or a related field.
Minimum Experience
  • 1 – 3 years of experience in logistics, transportation management, fleet management, or a related field.
Functional Knowledge
  • Strong organisational and time‑management abilities.
  • Excellent communication skills to interact with drivers, vendors, and other logistics staff.
  • Export & Import knowledge.
  • Proficiency in MS Office and fleet management software.
  • Basic understanding of vehicle maintenance and repair processes.
