Position SummaryThe Charter Office Administrative Assistant is a calendar‑year, full‑time position that reports to the Director of Operations. The assistant works with the Charter Office team to welcome families, guests, volunteers, community members, staff, and visitors while ensuring safety protocols are observed. The role manages communications—including attendance, transfers, calls, and emails—and handles additional office projects and workflow as assigned.
Expectations and Responsibilities- School Receptionist – Welcome students, families, teachers and visitors to the school; serve as the main front desk contact; answer the phone and direct calls; process student absences, tardies and dismissals; enter all codes into Power School; communicate student attendance issues with families; assist with student accountability throughout the day and during emergencies and drills.
- Charter Office Support and Operations – Monitor the "BART Info" email account; retrieve mail and packages from the post office and distribute to faculty and staff; send school attending reports; process student records transfers and transcript requests; file official and unofficial transcripts; organize large mailings and photocopying jobs; provide support for fundraisers and other school events; post job openings on various sites;
coordinate transportation and lunches for field trips. - Provide support to the Admin team and take on other duties toward the smooth running of school operations as directed by the Director of Operations or the Executive Director.
- Excellent interpersonal skills and ability to work with a wide range of people.
- Minimum of a high school diploma; some college or more preferred.
- Strong customer service orientation; friendly and accommodating.
- Ability to de‑escalate and triage conversations with upset or frustrated family or community members.
- Strong work ethic with ability to perform at a high level in a sometimes noisy or chaotic environment.
- Impeccable integrity and commitment to excellence.
- Ability to handle sensitive and confidential information effectively with maturity and discretion.
- Keen attention to detail and respect for accuracy.
- Strong computer skills, including email, Google Suite, internet searches and office productivity software (e.g., mail merges); experience with database software desired.
- Team player with a sense of humor who enjoys working with students.
