Position: ADMINISTRATIVE REGISTRAR II (WEEKDAY ONLY - 2:00 PM - 5:00 PM)

Job Title: Administrative Registrar II

Department: Administration

Reports to: Superintendent of Recreation & Revenue Facilities

Job Class: Regular Part-time, Non-exempt

Work Hours: Monday through Friday, up to 19 hours per week (from 2:00 pm-5:00 pm)

Pay rate: $16.00 per hour

Position Summary

Under general direction and supervision, the main registrar will serve as a first impression for patrons entering the Community Center at the Addison Park District. This key position will serve as the face of the agency to greet, assist, and register patrons for programs and events at the Community Recreation Center. This position is not limited to these tasks but will also bring forth support and efforts for those who are on staff at the Community Center.

Bilingual skills strongly preferred.

Essential Duties and Responsibilities
  • Greets lthe patrons courteously and respectfully both in person and via telephone, answering any questions as needed.
  • Registers patrons for recreation programs, senior programs, and special events utilizing the Park District registration software- RECTRAC, takes payment, and provides receipts for all transactions.
  • Follows proper cash handling procedures and policies.
  • Take applications for rentals, process the deposit, and create the reservation in the RECTRAC program.
  • When the Events and Corporate Service Manager is not available, the registrar will be required to provide information about rental, provide application, and provide a tour of our rooms at the Community Center.
  • Registrar will be instructed and process Scholarship applications and Donations to other entities.
  • Will be required to file all accounts payable check payables twice monthly, match up receipts to monthly vouchers and filing of all P-cards-once monthly, pull off all invoices and P-cards for audit annually.
  • Process the first step of all refunds that are needed for programs through the park district.
  • Helps set up for senior programming, and senior events and keeps track of Senior club dues list.
  • Knowledge of printing stamps from our online website.
  • Punches in people for daily Dance, Exercise, and cards, and replenishes all punch passes at CRC as needed.
  • Observe all safety regulations in compliance with safety manual operation.
  • Processes incoming and outgoing mail and phone calls.
  • Prepares and balances daily cash journal reports with 100% accuracy and reports all discrepancies as applicable.
  • Assists in maintaining an adequate inventory of facility supplies, forms, and materials.
  • Establishes good working relationships with staff, patrons, the community, and other governmental agencies within the Addison Park District and Village of Addison.
  • Keeps all work areas clean and well organized.
  • Assists in facility general cleaning and organization when necessary.
  • Assists in general office and administrative needs as assigned.
  • Performs other duties as assigned.
Additional Duties and Responsibilities
  • Assists with and/or attends park district special events.
  • Works with schools, sports leagues, and other organizations on special projects as directed.
Required Qualifications
  • Must be 18 years of age.
  • General knowledge of Word Processing Programs, Excel, Email, Rec Trac, and general office operations.
  • Previous customer service experience required.
  • Bilingual skills strongly preferred (Polish, Italian, and/or Spanish)

  • Aptitude to use a computer for e-mail, report processing, and business operations.
  • Ability to cooperate with and interpret Park District philosophies concerning governmental, public, and private groups or agencies, and to the general public.
  • Ability to work harmoniously with fellow employees, patrons, community groups, and other units of local government.
  • Ability to utilize effective time management skills and be able to work under the stress of multiple deadlines, requests from others, and interruptions, with accuracy.
  • Ability to read and write in English and organize effectively.
  • Capacity to maintain self-control and composure in difficult situations.
Working Conditions/Physical Requirements
  • Frequent walking, standing, reaching, sitting and working at a computer.
  • General work area is indoors, in a smoke-free environment with controlled temperature and fluorescent lighting
  • Occasional exposure to natural and potentially extreme weather conditions while attending to job-related activities.
  • Exposure to noise distractions from employees, patrons or equipment operation in adjacent work areas.
