ABOUT THE POSITIONThe Program Manager role encompasses sales, creative processes, and program execution, covering the full spectrum of services from sales and creative development to proposal writing and program operation. This position is responsible for developing and maintaining a deep understanding of the company services to establish and nurture client relationships, drive successful sales, and ensure client satisfaction through well‑executed programs.
ABOUT THE CLIENTThis DMC is the only ADMEI accredited Destination Management Company/Event Planning Company in North Texas. RESPONSIBILITIESTeam Responsibilities
- Weekly company wide meetings.
- Brainstorming and proposal strategy meetings.
- Program turnover and post‑turnover program strategy meetings.
- Weekly 1:1 meetings – check‑in with directors individually or as a group to discuss client programs, progress toward goals, roadblocks, etc.
- Sales Activities (typically 50% time)
- Learn/become proficient in the sales process and familiarize yourself with the primary customer base: corporate, incentive, and association markets.
- Manage the content library within the system, removing or adding items as needed.
- Assist sales team with client research to prepare for large proposals, conferences, presentations and assist with follow‑ups if necessary.
- Field inquiry calls when sales team members are out of the office.
- Act as account manager on specific programs as needed.
- Consult with clients on product offerings and proposal creation/presentation.
- Research pricing and service offerings with venues and vendors.
- Participate in client meetings, site visits, sales blitzes, presentations, and client calls as needed.
- Program Operations (typically 50% time)
- Operate programs as assigned, including strong knowledge in transportation, decor, F&B, tours, production, entertainment, custom fabrication and any additional vendor management required.
- Maintain Trello board for each assigned program and follow operations processes.
- Consult with clients and develop solutions for clients’ program needs.
- Conduct site inspections if necessary.
- Create SOS for field staff communication.
- Complete final billing and assign providers in Viper.
Manager Capabilities
- Ability to create proposals and operate programs while learning the sales process.
- Must be able to take direction from Directors regarding creative guidance as well as event planning fundamentals.
- Must consistently demonstrate:

- Detailed attention to budgets and basic financial acumen.
- Effective collaboration and ability to excel in a team environment.
- Creativity and research driven to find solutions for unique event requests.
- Consistent good judgement and critical thinking skills.
- Tech savvy – self‑sufficient, especially in these areas with internal training (or be so within 3–4 months of joining).
- PROFICIENT in:
Excel (including formatting and using basic formulas), Viper (completely understands proposal/costings/client pricing grids), Canva, Social Tables, Trello, and AI.
- Must be able to handle multiple programs (2–3) at different stages of execution.
- Consistently receives 4.8–5.0 client satisfaction ratings and rave reviews.
- Lives, breathes, and exudes service and company values.
- Attend Industry Meetings on an ongoing basis.
- Encouraged to attain DMCP certification as soon as eligible.
Must have at least 3 years of relevant industry experience in event planning. DMC experience a plus. College degree preferred. Flexible schedule allowing for attendance at programs which occur outside of standard working hours. Satisfactory motor vehicle record & proof of valid insurance with reliable transportation.
Destination knowledge and/or DMC experience a plus.
