We are looking for a professional and customer-focused Receptionist / Front of House to deliver a high-quality reception service at Defra Weybridge. You will play a key role in creating a welcoming and efficient front-of-house experience, ensuring all visitors, contractors and staff are supported in line with agreed service levels.
You will be part of a small, front-of-house team of three, with two team members based on the main building reception and one positioned at the gatehouse. The team operates on a rotation basis, giving you exposure to both areas and ensuring a varied and engaging working day.
This role places a strong emphasis on customer service and personality over traditional reception experience. We are looking for individuals who are naturally approachable, confident, and take pride in delivering a positive experience for every visitor and colleague. A friendly, proactive attitude and the ability to build relationships are key to success in this position.
Key Responsibilities- Provide a welcoming, courteous and professional front-of-house service across Gatehouse and Building 33
- Manage visitor and contractor bookings via the visitor management system, ensuring accurate records and badge allocation
- Ensure all visitors sign in/out and comply with site security and safety procedures, including fire instructions
- Handle incoming calls via the switchboard and manage queries in an efficient and friendly manner
- Maintain visitor logs and support security processes, including accessibility requirements
- Book and monitor meeting rooms using the My Workspace system, ensuring rooms are clean and correctly set up
- Conduct regular meeting room audits and report faults via the Facilities Helpdesk
- Support postal duties, deliveries, and assist with additional workplace tasks as required
- Excellent customer service and communication skills (written and verbal)
- Good knowledge of Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Strong organisational and time management skills
- Ability to work independently and as part of a team
- Flexible, proactive, and professional approach to work
- Understanding of health and safety practices
- Full UK driving licence (held for at least 12 months)
