Position Summary
Our US Division is seeking experienced Senior Bookkeepers. This role owns the day-to-day management of accounts payable, accounts receivable, expense administration, banking activities, and general bookkeeping functions across multiple entities. The ideal candidate maintains accurate financial records in Quick Books Online (QBO), manages Ramp expense processes, supports month-end close activities, and serves as a key point of contact for internal stakeholders and vendors.
The ideal candidate is highly proficient in Excel and comfortable working across cloud-based financial software, has a strong grasp of debits, credits, and core accounting principles, and thrives in a fast-changing, high-growth environment where priorities and workload shift frequently.
Key Responsibilities
Accounts Payable & Expense Management
· Process accounts payable invoices and bills for USA affiliated firms, ensuring accuracy, completeness, and timely payment.
· Enter and code vendor bills, schedule and execute payment runs, and reconcile vendor statements.
· Maintain organized AP records and supporting documentation in accordance with company policies.
· Accurately categorize and allocate expenses within Ramp and Quick Books Online (QBO).
· Administer the Ramp expense management platform, including employee reimbursements, corporate card transactions, expense tracking, and policy compliance.
· Monitor expense activity and follow up on missing receipts, coding issues, or approval delays.
Accounts Receivable & Banking
· Generate and process accounts receivable invoices for USA affiliated firms as needed.
· Send customer invoices, track outstanding balances, apply payments, and follow up on overdue accounts.
· Perform monthly bank reconciliations for multiple entities, ensuring accuracy and timely resolution of discrepancies.
· Reconcile credit card accounts and maintain accurate cash and banking records.
· Assist with cash management activities and monitor daily banking transactions.
· Prepare A/P and A/R aging reports and other financial summaries for management review.
Accounting & Bookkeeping Operations
· Maintain accurate, up-to-date books in Quick Books Online, ensuring proper coding to the chart of accounts.
· Record and categorize daily financial transactions.
· Support month-end and year-end close processes, including journal entries, accruals, and account reconciliations.
· Maintain organized financial records to support audits, tax preparation, and reporting requirements.
· Identify, investigate, and resolve discrepancies in a timely manner, escalating issues when necessary.
· Assist with payroll processing coordination and employee expense report review.
· Collaborate with the broader Finance team to improve bookkeeping processes, workflows, and internal controls.
· Document and maintain standard operating procedures (SOPs) for bookkeeping and AP/AR workflows to support scalability as the finance function grows.
· Adapt quickly to evolving processes, systems, and priorities as the company scales, maintaining accuracy and organization amid increasing transaction volume.
Communication & Stakeholder Support
· Serve as the primary point of contact for internal firm representatives, vendors, and external stakeholders regarding billing, invoices, payments, and expense-related inquiries.
· Manage and monitor shared Accounts Payable and Accounting mailboxes, ensuring timely responses and issue resolution.
· Coordinate with vendors and firm contacts to resolve billing discrepancies, missing documentation, and payment-related concerns.
· Maintain strong cross-functional communication to support efficient financial operations.
Qualifications
· 3+ years of bookkeeping experience with hands-on, high-volume A/P and A/R responsibility.
· Proficiency in Quick Books Online (QBO) required; QBO certification is a plus.
· Strong comfort with cloud-based financial and operational software (e.g., QBO, Ramp, , or similar) required.
· Solid working knowledge of debits, credits, and double-entry bookkeeping.
· Advanced Excel skills (pivot tables, VLOOKUP/XLOOKUP) and/or Google Sheets required.
