We are seeking a proactive, highly organized, and detail-oriented Executive Assistant to support the Executive Director . This role will serve as a key coordination point across departments, ensuring seamless communication, timely execution of initiatives, and efficient day-to-day management of administrative, scheduling, and follow-up activities.
Key Responsibilities
1. Coordination & Follow-Up
Act as the primary point of contact between the Executive Director and internal stakeholders.
Track, monitor, and follow up on tasks and projects assigned across departments to ensure timely completion.
Maintain and regularly update project trackers, including timelines, dependencies, and progress status.
2. Scheduling & Meetings
Manage the Executive Director’s calendar by scheduling, prioritizing, and coordinating meetings, appointments, and calls.
Prepare meeting agendas, record minutes, and ensure closure of action items.
Support planning and coordination of weekly, monthly, and periodic review meetings.
3. Travel & Logistics Management
Coordinate domestic and international travel, including itineraries, accommodations, and related logistics.
4. Communication & Documentation
Draft and review emails, presentations, reports, and other communication on behalf of the Executive Director.
Handle sensitive information with the highest level of confidentiality and discretion.
Qualifications & Skills
8–10 years of experience as an Executive Assistant, preferably within a manufacturing environment .
Strong organizational, multitasking, and prioritization abilities.
Excellent written and verbal communication skills.
High proficiency in MS Office (Excel, PowerPoint, Word) and scheduling tools (Google Calendar, Outlook, etc.).
Professional demeanor with strong ownership, accountability, and follow-through.
Ability to work under pressure while maintaining confidentiality.

Ability to manage multiple priorities simultaneously.
