Job Overview
We are looking for a detail-oriented and technology-savvy Product Documentation Specialist to join our growing team. You will be responsible for creating, maintaining, and continuously improving user-facing and internal documentation for our product suite - working at the intersection of product, engineering, and customer success.
This role goes beyond traditional technical writing. You will leverage AI tools to accelerate content creation, build scalable documentation systems, and contribute to knowledge management across the organisation. We expect someone who is self-driven and creative - someone who doesnt wait to be told what needs improving, but proactively identifies opportunities to present product information in new and more effective ways.
This is a role for someone who thinks about documentation as a product in itself and takes genuine pride in transforming complex information into experiences that help customers succeed.
Roles and Responsibilities
Documentation Creation & Maintenance
Author and maintain user manuals, how-to guides, onboarding content, release notes, and FAQs for product features.
Write in-product microcopy - tooltips, error messages, and contextual help text - in collaboration with UX designers.
Uphold a consistently high editorial bar: documentation must be accurate, clearly written, logically structured, and appropriate for its audience before publication.
Conduct periodic content audits to identify outdated, redundant, or missing documentation, and prioritise improvements proactively.
Go beyond maintenance - actively look for opportunities to transform how information is presented: propose and pilot new formats, channels, or approaches - interactive walkthroughs, embedded help, short-form video, annotated flows - without waiting to be asked.
AI-Augmented Writing & Tooling
Use AI writing tools (such as Claude, ChatGPT, and similar) to generate, iterate, and accelerate documentation production.
Apply prompt engineering techniques to produce accurate, on-brand first drafts and structured content outlines.
Review, fact-check, and take full ownership of all AI-generated content - technical accuracy and editorial quality are non-negotiable.
Build and maintain a shared prompt library and AI workflow templates for the documentation team.
Evaluate and recommend new AI or documentation tools that can improve team productivity and content quality.
Structured Content & Knowledge Architecture
Design and maintain a logical information architecture.
Tag, categorise, and structure content for searchability, machine readability, and potential use in AI training datasets or internal chatbots.
Contribute to building and curating content that can feed internal knowledge base assistants or support bots.
Cross-Functional Collaboration
Partner closely with product managers, engineers, QA teams, and customer success to gather information and validate documentation accuracy.
Participate in product demos to stay ahead of upcoming feature launches - documentation should never lag a release.
Create self-service documentation that reduces support ticket volumes and enables customers to succeed independently.
Analytics & Continuous Improvement
Track documentation performance using analytics - monitor search queries, page views, and user feedback to identify gaps.
Use data insights to prioritise improvements and measure the impact of content updates.
Required Qualifications
Bachelors degree in English, Journalism, Computer Science, Information Technology, or a related field.
2 to 5 years of experience in technical writing, product documentation, or a closely related content role.
Strong written English with an ability to simplify complex technical concepts for varied audiences.
Hands-on experience with AI writing tools and a demonstrated ability to prompt, review, and refine AI-generated content.
Proficiency with documentation platforms such as Confluence, Notion, Git Book, Read Me, or equivalent.
Familiarity with Markdown and basic docs-as-code workflows (Git, version control).
A portfolio demonstrating clear, well-structured, user-facing product documentation.
Self-motivated and proactive - surfaces problems and solves them without being asked.
