Flight Coordinator - Hawaii Life Flight

Job SummaryThe Flight Coordinator is responsible for receiving emergent and non-emergent telephone requests for patient transport and assigning the most appropriate air unit via a Computer Aided Dispatch (CAD) system. The coordinator is the primary link between the Flight Team and the resources needed, serving as the central hub for cross‑functional communication among Aviation, Maintenance, Operations, Clinical, and Administrative departments. Proficiency with CAD, mapping software, communications equipment, multi‑line phone systems, and digital recording equipment is required.
ESSENTIALFUNCTIONS / DUTIES
- Provide excellent customer service to all customers, co‑workers, management, and the public.
- Receive and handle all customer requests for or about medical transports in a friendly, timely, and professional manner.
- Listen carefully and accurately document all interactions.
- Communicate clearly both verbally and in writing.
- Assign and coordinate medical transport by Air Evac.
- Handle declines and cancellations of transport requests, offering alternate solutions or aircraft as appropriate.
- Maintain data entries in the CAD system for all requests.
- Monitor aircraft while in flight and enter position reports into the CAD system.
- Communicate with the Flight Coordinator Supervisor when issues arise.
- Communicate with partners and the Flight Team to facilitate transports as needed.
- Participate and contribute willingly, effectively, and efficiently as a team member in various councils to accomplish organizational goals.
- Adhere to all company policies and procedures.
- Perform other duties as assigned.
- Minimum 18 years of age.
- High School Diploma, GED, or equivalent.
- Detail oriented.
- Ability to multi‑task.
- Ability to function in a fast‑paced, high‑stress work environment.
- Computer literate.
