Role OverviewWe are seeking an experienced Regulatory Compliance Documentation Executive Perfumes to manage fragrance regulatory documentation product compliance quality records and international registration requirements The ideal candidate must have hands‑on experience in perfume manufacturing a strong understanding of fragrance regulations and an academic background in Chemistry or a related field This role will be responsible for ensuring all perfume products meet international compliance requirements including IFRA standards ingredient documentation safety requirements and country‑specific product registrations across global markets
Key ResponsibilityManage regulatory documentation requirements for perfume products across global markets Ensure perfume products comply with global fragrance regulations regulatory standards and market‑specific requirements across international export destinations Coordinate and complete product registration processes with distributors regulatory partners and relevant authorities Prepare submit and maintain product registration dossiers and compliance documentation Maintain product technical files including formulations ingredient declarations certificates and regulatory records Support new product launches by ensuring all compliance requirements are completed before market release Stay updated on changes in fragrance regulations industry standards and regulatory requirements Ensure perfume formulations comply with IFRA Standards and applicable fragrance safety requirements Review fragrance formulas raw material information and compliance requirements Maintain and manage IFRA certificates allergen declarations SDS MSDS and technical documentation Coordinate with R D Quality Control and Production teams to ensure regulatory compliance during product development and manufacturing Support regulatory assessments for new formulations product modifications and reformulations Prepare and maintain Incoming Oil Quality Reports including complete batch‑wise documentation Maintain records of incoming fragrance oils raw materials supplier documents and quality certificates Review and maintain Certificates of Analysis COA specifications and supplier compliance documents Ensure traceability of raw materials and finished products through accurate documentation Support quality audits compliance reviews and customer documentation requests Maintain accurate batch records product specifications and manufacturing documentation Ensure documentation compliance with internal quality systems GMP standards and regulatory requirements Coordinate with Production Quality and Warehouse teams to resolve documentation gaps Maintain organized records for internal audits external audits and regulatory inspections Support continuous improvement of documentation processes and compliance systems Review product information claims and technical details to ensure alignment with regulatory requirements Coordinate with internal teams and external partners to ensure smooth execution of regulatory and documentation requirements
RequirementsBachelor’s degree in chemistry, Applied Chemistry, Chemical Sciences, or a related field.
Mandatory experience in perfume/fragrance manufacturing.
3–5 years of experience in regulatory affairs, compliance, quality documentation, or product registration within the fragrance, perfume, or cosmetics industry.
Strong knowledge of IFRA Standards, fragrance safety requirements, allergen declarations, and regulatory documentation.
Hands‑on experience in perfume product registration and international compliance processes.
Knowledge of SDS/MSDS, COA, technical files, product specifications, and regulatory submissions.
Strong documentation management, analytical thinking, and attention to detail.
Ability to manage multiple projects, deadlines, and compliance requirements.
Excellent communication skills with the ability to coordinate effectively with internal teams, suppliers, distributors, and regulatory partners
