Event Manager / Planner
Special Event Management
- Responsible for coordinating the scheduling of recreational facility spaces for campus organizations, student groups, and community organizations including;
Ocasek Natatorium for swimming & diving programming and events, SRWC, and Buchtel Field outdoor space. - Assist fellow SRWS Program Area Managers with scheduling internal program space.
- Coordination of space includes creating contractual agreements, arranging set-up & tear-down responsibilities, supervision of rentals, arranging cleaning as necessary, and invoicing appropriately.
- Collaborate with campus departments and student organizations to offer creative and innovative programs and events.
- Assist in the management of Aquatics Programs to include:
American Red Cross Learn-to-Swim program, semi-private and private swim lessons, marketing and promotion of events, evaluation and assessment of outcomes, and external communication to program participants. - Coordinate the SRWS Birthday Party program for campus and community participants.
- Assist in the creation and oversight of policies and procedures necessary to maintain safety standards while providing consistent customer service to patrons & guests.
- Assist in daily operations of Ocasek Natatorium (ONAT) 50-Meter Competition Pool, Student Recreation & Wellness Center, and Buchtel Field Outdoor Field.
- Assist in maintenance and upkeep of facility spaces, including;
Coordinating with appropriate personnel both internal and external to the SRWS Department to maintain cleanliness & safety standards of equipment and spaces. - Assist with the development and oversight of policies and procedures related to operation of facilities and customer service.
- Assist in requirements regarding swimming pool operations that meet/exceed applicable county and state health codes and regulations.
- Coordinate facility usage schedules that encompass many types of users, including; academic classes, departmental programming, campus programming, community rental groups, athletic team practices, and others.
- Assist in the oversight of hiring, training, scheduling, supervision, payroll, and evaluation of SRWS Operational student staff within the Aquatics Program and Informal Recreation Program.
- Assist in the inservice and audit process of SRWS Operational student staff.
- Assist in planning and execution of safety training for SRWS staff.
- Assist in resolving patron facility use issues.
- Manage budget, strategic planning and regular reporting for special events and programs.
- Make recommendations & purchase as necessary equipment necessary for operation of SRWS facilities
- Assist in marketing, both digital and print, of events and programs

Position Requirements- Education: requires a relevant bachelor’s degree

American Red Cross CPR (or equivalent) Instructor (or ability to obtain with 3 months of hire) - Preferred
Certifications:
American Red Cross Lifeguard &/or American Red Cross Lifeguard Instructor - Experience: requires a minimum of 1 year experience with special event programming. Ability to manage multiple projects simultaneously, manage time efficiently, and prioritize tasks required. Supervisory experience of staff and/or students, strong oral and written communication skills, ability to work a non-traditional work week, and ability to work in a high tempo work environment required. Computer skills to include Microsoft Office suite of programs and membership/facility management software.
Preferred Experience:
demonstrated experience within an aquatics program environment to include; swim meet management, knowledge of Colorado Timing Equipment, &/or knowledge of Hy-Tek Swim Meet management software.
