Position: Administrator Senior - UAE (X4)

This is a quality-driven recruitment exercise for a client who prioritises technical excellence and cultural fit. We are looking for detail-oriented, organised administrative professionals with experience in safety documentation, permit systems, or LOTO (Lockout/Tagout) administration in industrial or construction projects. You will support general administrative activities while also assisting designated departments, including Commissioning and ESSW (Electrical Safety and Switching Work), with coordination, record keeping, permit documentation, trackers, registers, audit support, and follow-up actions.

Requirements
  • Education: Bachelor's Degree in Computer Science, Diploma in Computer, Engineering, Safety, or a related field. Certification in LOTO/ESSW awareness is desirable.
  • Experience: Minimum of 2+ years of experience in safety documentation, permit systems, or LOTO administration in industrial or construction projects.

    Skills:

    • Strong document control and documentation management skills.
    • Hands‑on experience with Aconex and Zutec
      .
    • Good understanding of permit management systems and processes.
    • Proficiency in Microsoft Office Suite (certification preferred).
Responsibilities
  • Maintain administrative files, registers, trackers, templates, and controlled documentation in an accurate and timely manner.
  • Maintain task trackers, action logs, and progress updates for assigned departments or projects.
  • Act as Single Point of Contact (SPOC) for designated departments – coordinating between office teams, site teams, Commissioning, ESSW, LOTO representatives, safety teams, and other relevant stakeholders.
  • Assist with LOTO / ESSW permit administration – check that submitted permit documentation is complete, correctly filled, appropriately authorised, and supported by required information before further review by authorised personnel.
  • Maintain updated permit registers – including open and closed permits, permit status, lock/tag tracking information, and related logs.
  • Coordinate with permit requestors, approvers, field teams, and the LOTO Coordinator to support timely updates, extensions, cancellations, closures, and archiving of permit documentation.
  • Archive permit, commissioning, and ESSW documentation in line with audit, compliance, and project requirements.
  • Escalate missing information, discrepancies, incomplete documentation, or non-compliance observations to the relevant manager, LOTO Coordinator, or authorised department representative.
