Description
The Center for Rheumatology, LLP seeks an experienced Medical Receptionist Supervisor to oversee front desk operations and ensure an exceptional patient experience. This role combines leadership responsibilities with hands‑on medical receptionist duties. The ideal candidate has strong supervisory experience, a solid understanding of medical office workflows, and a patient‑focused mindset.
Supervisory Responsibilities- Supervise daily front desk and reception operations
- Lead, train, and schedule reception staff to ensure appropriate coverage
- Communicate scheduling issues or staffing concerns to the Manager of Patient Care and Coordination
- Coordinate with clinical staff to optimize patient flow and minimize wait times
- Handle patient inquiries, concerns, and complaints professionally; elevate issues when necessary
- Monitor staff performance and recommend workflow or system improvements
- Train reception staff on new duties, procedures, and workflows
- Ensure compliance with practice policies, procedures, and healthcare regulations
- Check patients in and out; accurately document registration information
- Verify insurance coverage and patient demographics
- Collect co‑pays and outstanding balances; obtain credit card authorizations
- Schedule appointments and manage incoming calls and voicemail messages
- Greet patients and visitors and provide clear direction and assistance
- Assist patients with completion of medical forms and paperwork
- Print and distribute patient education materials, prescriptions, and orders per provider instructions
- Update and maintain patient information in the practice management system
- Ensure lobby and check‑in lines flow efficiently
- Assist patients and providers with appointment discrepancies or scheduling issues
- Perform additional clerical duties as assigned
- High school diploma or GED required
- Minimum of 5 years’ experience in a medical office or healthcare setting
- Minimum of 3 years’ supervisory experience
- Proficiency with medical practice software, Windows, and Microsoft Office
- Strong communication, leadership, and customer service skills
- Ability to handle confidential information with professionalism
- Associate’s degree in healthcare administration, management, or related field
- Experience working with Nextgen EHR
