Job Summary

The Work-Based Learning Program Assistant is responsible for providing high-level administrative and project management support for Cooperative Work Experience and Credit for Prior Learning. The position requires strong judgment, confidential handling, excellent administrative and interpersonal skills, and the ability to work independently while engaging with a diverse campus community.

The Program Assistant facilitates agreements and registration for students engaging in Cooperative Work Experience with local employers and college faculty, maintains communication via the department email, manages the department calendar, arranges meetings, plans events/functions, maintains faculty and employer relationships, provides student orientations, registration support, and outreach, and handles work experience job postings, agreement forms, and tracking needs. The assistant also supports the processes for Credit for Prior Learning, including processing forms, creating invoices, verifying credentials, and transcribing credit into the Student Information System.

Required Qualifications

  • Excellent writing and verbal communication skills; attention to detail.
  • Thorough knowledge of budgetary/fiscal processes, standard office techniques, principles and practices of office management, work organization and simplification, and secretarial principles and practices.
  • Willingness and ability to learn new technology.
  • Strong skills in English, grammar, spelling, punctuation, and mathematics.
  • Knowledge of word processing, spreadsheets, presentations, and other software applications.
  • Strong organizational, planning and communication skills.

  • Use mid-range graphics and word processing skills to prepare a variety of materials following standard formats and criteria.
Education and Experience
  • Position requires an AA/AS or equivalent in business, education, human relations, training development, or related field, plus a minimum of two years' full-time experience in personnel, human resources, workforce development, recruitment, training, career planning, or a related area; or otherwise equivalent education and experience enabling full performance of all aspects of the job.
Preferred Qualifications

A thorough knowledge of special practices, techniques, college operations, practices and policies as they relate to the division, the ability to create and maintain accounts across multiple web-based platforms, and understanding of the college's strategic goals and values.

Physical Requirements and Working Conditions
  • Operate a computer and other office equipment.
  • Occasional lifting, guiding, or carrying of lightweight materials or equipment up to 30 pounds.
  • Sitting or standing for extended periods.
  • Comprehend written and spoken language accurately, including processing words and numbers in person, via Internet, and by telephone, with or without accommodations.
Working Conditions
  • Work normally performed in an office setting with little or no exposure to health and safety hazards.
  • Extensive time spent working at a computer.
  • Work hours may occasionally include night or weekend hours.
  • Travel required between college main and satellite locations.
  • Assignments may include any LBCC campus or center location.
Essential Duties
  • First point of contact with CWE students and industry partners to evaluate and process requests, prioritize urgent matters, and facilitate optimal resolution.
  • Effective interaction with the CWE Coordinator, college leadership, division faculty, anticipating needs, accommodating work styles, and proactively reaching out for assistance.
  • Monitor and meet deadlines, adapt to changing circumstances, prioritize multiple tasks, work independently, handle frequent interruptions and shifting priorities.
