Job Summary

Provides basic program support for the Business Education and Liberal Arts (BELA) division. Assists and supports the dean, division Administrative Assistant, and division Program Coordinator/Analyst with various tasks. Provides basic secretarial and office clerical duties.

Responsibilities
  • Answers basic inquiries and provides information and assistance to students and staff on programs, procedures, and division activities.
  • Coordinate with student employees regarding office support, maintain inventories, distribute mail, assist with office equipment, and maintain or create written procedures. Perform annual key audit and coordinate checkout and inventory of audiovisual equipment.
  • Maintain proficiency with office technologies and pursue continuous improvement in division efficiency.
  • Coordinate food service, materials, and equipment needs for BELA division meetings and events; support campus/divisional events as directed.
  • Support student employees in collecting and processing class syllabi for retention in the community archive.
  • Prepare infographics, posters, and other promotional materials aligned with LBCC branding.
  • Provide logistical and clerical support for administering and grading tests and final exams for WR115 and WR121 faculty.
  • Assist Dean with grant management (e.g., Cornerstone Project), quarterly narratives, event support, guest speaker coordination, and scheduling coordination with Registrar and Scheduling on related classes.
  • Complete confidential background checks for practicum placements and process related payments and forms as required.
  • Perform other related duties as assigned.
Qualifications

Required Qualifications

  • High school diploma/GED plus 2 years related office experience.

Knowledge and Skills

  • Desire and commitment to work with students.
  • Thorough knowledge of office practices and procedures; proficient with database and spreadsheet software, office equipment, and filing systems.
  • Skilled in reception, telephone techniques, and letter/report writing.
  • Proficiency in English usage, grammar, spelling, punctuation, and basic arithmetic.
  • Experience with standard office machines, computers, and office software.
  • Good planning, organizing, and customer relations skills; well-developed communications skills.

Abilities

  • Ability to independently perform duties efficiently and effectively.
  • Demonstrated initiative and self-direction to learn and apply college and department knowledge.
  • Ability to plan, organize, and prioritize work to meet schedules and timelines.
  • Strong communication with students, staff, and the public using tact and courtesy.
  • Respectful collaboration with individuals of diverse backgrounds and abilities.

Preferred Qualifications

  • Knowledge of college policies and procedures is preferred.
Physical Requirements and Working Conditions
  • Keyboarding; occasional lifting or carrying of lightweight materials.
  • Extended computer use; ability to bend, stoop, and troubleshoot office equipment as needed.
  • Office setting with minimal health hazards; significant time at a computer.
