Work Schedule

29 hours per week within the range of Monday through Thursday, 8:00 am until 7:00 pm, Friday 8:00 am until 5:00 pm. This is a part‑time (non‑exempt) position providing services in‑person for students at college and community locations.

Job Description

Piedmont Virginia Community College (PVCC) is a public, open‑access institution of higher education in the Virginia Community College System. The College serves students in Charlottesville and surrounding counties.

Position

Purpose:

The Workforce Development Division is seeking a highly organized, innovative, and collaborative individual to provide administrative and office support to the Executive Director of Workforce and assist with the daily operations of the division.

Duties and Responsibilities
  • Provide clerical and reception support, including receiving visitors by phone or in‑person, responding to basic inquiries, and maintaining the organization of the division office’s supplies and equipment.
  • Assist the Executive Director of Workforce with relevant tasks as needed.
  • Coordinate appointments and meetings for division leadership, manage the Executive Director’s daily calendar, and disseminate agendas.
  • Collect and store course syllabi, manage online room requests for the Main Building, and serve as the key operator for the division copier. Submit building‑related maintenance requests to the Building and Grounds Department.
  • Ensure course book/material orders are submitted for purchasing by due dates; obtain desk copies / publisher site access for faculty.
  • Collaborate with executive director, director, and program managers in preparing course schedules and accurately enter them into the student information system (SIS).
  • Ensure program webpages are accurate and up‑to‑date; post Workforce division announcements on PVCC systems and manage bulletin boards and the division newsletter. Post faculty awards and achievements on the internal PVCC eNews publication.
  • Order supplies and equipment for the division office via the Ariba electronic ordering system (eVa).
  • Comply with the rules and regulations of the State Procurement Manual and the college purchasing office.
  • Work with workforce leadership to assist with issues concerning all instructional programs.
  • Serve as division liaison with college IT for the SIS and webpage, and with Building and Grounds for building maintenance issues.
  • Coordinate and provide office staffing/coverage, maintaining consistency for 29 hours a week within the specified schedule.
Special Assignments

May be required to perform other duties as assigned and may be required to assist the agency or state government in the event of an emergency declaration by the Governor.

Required Qualifications
  • Proficient keyboarding and data entry skills with a high level of accuracy.
  • Working knowledge of word processing, spreadsheet, and related office software.
  • Experience operating standard office equipment, including copiers and duplicating machines.
  • Strong organizational skills, including the ability to maintain records, track assignments, and manage files efficiently.
  • Ability to handle multiple projects concurrently while meeting deadlines.
  • Capacity to follow guidance and coordinate work with multiple supervisors or stakeholders.
  • Skill in prioritizing tasks based on urgency, deadlines, and operational needs.
