FWI is building a team to provide comprehensive event planning, logistics, coordination, and on-site support services to the National Science Foundation's Office of Legislative and Public Affairs (OLPA). As an Events Coordinator, you will manage end-to-end logistics for meetings, conferences, exhibits, and high-profile engagements, ensuring seamless execution of in-person, hybrid, and virtual events that effectively communicate NSF's mission. This full-time hybrid position will work Monday through Friday, 8:30am to 5pm, with 90% onsite at NSF headquarters in Alexandria, VA Responsibilities
* Coordinate end-to-end event logistics including venue selection and management
* Manage exhibit and booth design and deployment
* Oversee inventory and materials management
* Coordinate vendor relationships and oversight
* Manage on-site setup, operations, and breakdown
* Design, build, maintain, ship, store, and deploy NSF exhibit kits and activation materials
* Manage speaker and RSVP processes, including invitations and registration platforms
* Coordinate speaker preparation activities (briefings, dry runs)
* Develop event timelines, runs of show, and planning documentation
* Provide weekly status reports, surveys, and post-event analyses
* Ensure compliance with Section 508 accessibility standards and NSF branding guidelines Qualifications
Required:
* Experience in event planning, logistics, or coordination
* Experience managing multiple events simultaneously
* Experience with vendor coordination
* Proficiency in Microsoft Office
* Strong written and verbal communication skills
* Must be able to travel predominantly within the Continental United States
