Patient Services Assistant – Spine and Pain Program (Alma)

Summary
The Patient Services Assistant is the initial point of contact for all customers entering the facility and therefore requires exceptional customer service skills. The assistant also assists clinical staff with transporting/lifting patients, billing, scheduling, filing, word processing, document production, patient registration and other general duties as requested.

Responsibilities
  • Patient Registration (35%) – Perform registration, insurance verification, pre‑certification, obtain necessary signatures and authorizations for billing and medical release, and obtain a signed Advance Beneficiary Notice of Noncoverage (ABN) when services are not covered.
  • Schedule Management (35%) – Maintain the daily clinic schedule, coordinate with nursing staff, consider staff availability, patient acuity, and physician orders. Independently contact patients to schedule appointments and provide consistent, high‑level customer service in person and over the phone.
  • Office Operations (30%) – Execute all office duties including filing charts, typing and other clerical responsibilities, and manage patient information data.
Other Duties and Responsibilities
  • Act independently, exercising discretion and judgment; predominantly intellectual and varied work.
  • Assist in compiling and releasing data for statistical reports.
  • Monitor incomplete records per Medical Staff bylaws and Records policies.
  • Complete charge posting for patient encounters and assist in the auditing process.
  • Participate in performance‑improvement activities.
  • Maintain compliance with state and Joint Commission requirements regarding radiation safety and protection for patients and staff; attend scheduled in‑services to review policy, procedure, and safety measures.
  • Operate a computer effectively using MS Office applications such as Word, Excel, and Adobe; other duties as assigned.
Certifications and Licensures

Education

High School Diploma or GED

Experience, Training and Skills
  • Basic medical terminology knowledge acquired through formal coursework or one year’s experience in a health‑care setting.
  • General clerical skills and proficiency with standard office equipment and software (MS Office, Excel, Word, Adobe).
  • Effective communication with others in person and on the telephone.
  • Patient‑centric mindset in an outpatient care setting.
  • Ability to adapt to a fluid, changing environment and maintain flexibility in daily patient needs.
  • Competency in Microsoft® Windows; willingness to participate in further learning opportunities offered by My Michigan Health.
  • Preferred:
    Minimum six months of experience in a health‑care facility.
Physical, Mental Requirements and Typical Working Conditions
  • Exposure to stressful situations, including public contact, trauma, grief and death.
  • Ability to wear personal protective equipment, including latex materials or substitutes.
  • Move freely throughout the facility and perform all job functions as outlined.
  • Good vision and hearing, with or without assistance; frequent postural changes such as stooping, kneeling or crouching.
  • Exposure to blood‑borne pathogens and other potentially infectious materials; compliance with My Michigan Health blood‑borne pathogen and TB testing.
  • Ability to handle multiple tasks, work independently, maintain regular attendance, and stay alert; overall dexterity required for handling, reaching, grasping, and repetitive movements.
  • Physical Demand Level: Medium. Occasional lifting of 21‑50 lbs. for 0‑33 % of the workday; frequent lifting of 20 lbs. for 34‑66 % of the workday; continuous lifting or carrying of 10 lbs. for 67‑100 % of the workday.
