Job Summary
This position acts as the front‑line person and provides clerical, secretarial and receptionist support for the practice. It coordinates the patient flow process by answering the phone, scheduling appointments, registering patients, verifying insurance information, confirming patient demographic data, collecting payments, and may be required to schedule tests or procedures and process referrals. As the initial point of contact, it demonstrates respect, kindness, compassion, courtesy and professionalism to patients, families and visitors, ensuring excellent customer service to a diverse patient population.
Key Responsibilities- Provide excellent customer service: greet all patients, families and visitors; welcome them; answer telephone calls promptly; identify needs and take required action (20%).
- Verify and update patient information for safety and accuracy; access insurance websites; confirm provider assignments; complete required forms (HIPAA, PPA, MSP, consent) (20%).
- Accurately schedule patient appointments for all providers using multiple computer systems (practice management, EMR, insurance verification, Medifax, population health registry, Iterminal) (20%).
- Register new patients, explain practice policies and procedures, and obtain email addresses for portal registration (20%).
- Prior to patient departure, schedule future appointments/tests, collect copayments, process referrals, obtain prior authorizations, and check patients out (20%).
- Handle HIPAA privacy, provide education on Televox and the patient portal, coordinate primary‑care and specialty referrals, maintain cash drawer and post payments, process communications (fax, file, scan), maintain medical records, perform office opening/closing procedures, support multiple practices as needed, manage medication release, train new employees, demonstrate teamwork and professionalism, comply with Microsoft® Windows competency, and participate in further learning opportunities.
- Extensively coordinate provider referrals within My Michigan Health and other health systems, including scheduling appointments and testing and obtaining insurance authorizations.
- Maintain cash drawer, balance it at the end of the day, and post payments to patient accounts.
- Process all incoming communications, accurately fax, file, scan documents, and maintain documents in the patient medical record.
- Perform office opening and closing procedures; may provide support in one or multiple practices.
- Possess knowledge of and accurately perform medication and prescription release processes.
- Demonstrate willingness to work as a team member, communicate clearly and professionally, and train/orient new employees.
- Show a commitment to internal and external customer needs consistent with My Michigan Health’s mission, policies, and procedures.

Required Education- High school diploma or GED (required)
- Associate’s degree preferred
- Reading, writing, mathematics and computer skills.
- Keyboarding skills needed to register patients and perform other office tasks.
- Knowledge of medical terminology, office policies and procedures; normally acquired through at least two years in a medical office or similar setting.
- Interpersonal skills required to communicate successfully with individuals at all levels and to convey ideas and concepts clearly.
- Exposure to stressful situations, public contact, trauma, grief and death.
- Ability to wear personal protective equipment that includes latex or an appropriate substitute.
- Mobility throughout the facility, tolerance for sitting, standing, walking for extended periods, and performing postural changes such as stooping, kneeling or crouching.
- Exposure to blood‑borne pathogens and other potentially infectious materials; must follow My Michigan Health blood‑borne pathogen and TB testing requirements.
- Ability to handle multiple tasks, work independently, maintain regular and predictable attendance, and stay alert.
- Overall dexterity required for handling, reaching, grasping, and repeated movements.
- Physical demand level:
Sedentary; occasional lifting (0‑33% of the workday) of 0‑10 lbs.
