Position Overview

The Director of Operations will be the operational backbone of the firm—designing and improving firm-wide processes, supporting advisors, leading team members, and ensuring the client experience remains exceptional as we scale.

This role touches every part of the firm: billing, workflow management, team development, technology oversight, compliance support, marketing coordination, events, and more. You’ll partner closely with leadership to drive strategic initiatives while ensuring day-to-day operations run smoothly.

You will help shield the advisory team from operational demands so they can focus on planning, advising, and deepening client relationships. As we continue to grow, the Director of Operations will play a central role in integrating new systems, onboarding new team members, and strengthening our operational foundation.

Responsibilities Client & Advisory Support
  • Lead and refine operational processes around client communication, meeting preparation, follow‑up tasks, trading/rebalancing, money movement, and paperwork.
  • Ensure all quarterly reporting is accurate and delivered according to the firm’s service model.
  • Maintain a consistent, high‑quality client experience across all touchpoints.
  • Provide backup coverage as needed (phones, trading, paperwork, escalations).
  • Oversee planning and execution of client events and client gift strategy.
Firm Operations & Process Optimization
  • Own the monthly billing process to ensure accuracy and timeliness.
  • Build, document, and enhance workflows to support efficiency and growth.
  • Evaluate, integrate, and optimize the firm’s technology stack (currently including Redtail, Morningstar, Schwab) and recommend improvements.
  • Manage vendor relationships—including professional services, IT, benefits providers, custodians, software vendors, and marketing partners.
  • Oversee and improve use of portfolio management, CRM, and workflow systems.
  • Support a positive, accountable, and collaborative team culture.
  • Lead hiring, onboarding, training, and ongoing development for operations staff.
  • Manage performance reviews, clarify roles and expectations, recommend compensation adjustments, and handle performance improvement plans when needed.
  • Oversee PTO, scheduling, team‑building activities, and employee recognition initiatives.
Compliance Support
  • Implement new compliance procedures as needed, including cybersecurity initiatives.
  • Manage timely completion of compliance filings and registration requirements.
  • Serve as a liaison between the firm and compliance vendors/consultants.
Strategic Projects & Growth Initiatives
  • Lead special projects in coordination with firm leadership, including process improvements, technology upgrades, and integration of new advisors or books of business.
  • Bring forward ideas, execute with strong project management, and follow through with precision.
  • Help refine systems to support continued growth—including capacity planning, staffing models, and service model enhancements.
Qualifications
  • Bachelor’s degree required; advanced degree or professional certification preferred.
  • Minimum 5 years’ experience in operations or client service leadership within a registered investment advisor (RIA) or broker‑dealer environment.
