Medical Staff Administrative/Credentialing Assistant

Purpose: As a key member of our Medical Staff Services team, you'll play a vital role in ensuring our physicians and licensed health professionals are properly credentialed and supported throughout their tenure. You'll manage credentialing workflows, support Medical Staff committees, and provide high-level administrative assistance to senior medical leadership. All while contributing to a culture of quality, compliance, and continuous improvement.

Responsibilities
  • Process applications, reappointments, privilege changes, and resignations. Verify credentials and coordinate interviews. Maintain organized, accurate files and prepare documentation for committee review. Track licensure, DEA, insurance, and certifications using automated systems. Prepare agendas; attend meetings; record and transcribe minutes.
  • Provide executive-level support to the CMIO/VP Clinical Quality & Compliance, VPMA, and Administrative Director. Manage calendars, correspondence, and confidential documentation. Assist with hospital surveys and regulatory readiness (e.g., JC and Department of Health). Maintain financial records for Med Staff and Med Educ funds. Reconcile accounts, prepare reports, and support annual audits. Collect Medical Staff Membership dues and manage related accounts.
  • Receptionist for Department: serve as the welcoming face of the department, greet visitors, manage mail, phone communications, and supply orders.
  • Prepare records for retention per policies. Support the Medical Staff Lounge and maintain maintenance of bulletin board and shared spaces. Maintain physician attendance profiles and on-call schedules. Support social functions, memorials, and recognition efforts. Coordinate speaker logistics, materials, and announcements. Assist with CME documentation and program execution.

  • Perform other duties as assigned.
Qualifications
  • High School Diploma required; completion of a medical secretarial program or equivalent.
  • Experience:

    two (2) years of administrative experience in a healthcare setting preferred.
  • Experience with minute-taking, credentialing, and regulatory compliance preferred.
  • Bookkeeping and financial record‑keeping experience preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word) required.
  • Familiarity with Quick Books and transcription preferred.
